Responsibilities

  • Lead day-to-day delivery of business administration services.
  • Develop and maintain efficient administrative systems, processes and procedures.
  • Coordinate office administration, facilities and business support activities.
  • Support the implementation of business systems and digital tools that improve efficiency.
  • Ensure company records and documentation are maintained accurately and securely.
  • Act as the local liaison with the Group Company Secretariat and external advisers on governance matters.
  • Coordinate local company secretarial activities and support statutory filings in accordance with Indian regulatory requirements.
  • Support the preparation of Board and shareholder meetings, including agendas, papers and minutes.
  • Maintain statutory registers and governance documentation.
  • Promote compliance with Group governance standards and local corporate requirements.
  • Own the coordination of budgeting and forecasting activities for the India entity.
  • Prepare and maintain monthly management reporting, financial dashboards and performance insights.
  • Monitor expenditure, budgets and cash flow, supporting financial planning and control.
  • Oversee the delivery of accounting services provided by the outsourced finance partner and liaise with A/P and A/R teams.
  • Maintain effective financial controls and support statutory reporting, audits and compliance.
  • Support compliance with Group policies and local legal/regulatory requirements.
  • Maintain operational policies, procedures and business records.
  • Coordinate insurance administration and business continuity activities.
  • Monitor business risks and implement internal controls.
  • Act as the liaison between the India business and Group Functions (HR, Finance, Legal, IT, Procurement).
  • Coordinate with external service providers (payroll, accountants, auditors, banks, advisers).
  • Build relationships with customers, suppliers and government authorities as needed.
  • Coordinate procurement of office equipment, facilities and business services.
  • Manage supplier contracts and service agreements.
  • Monitor supplier performance and costs; identify cost efficiencies.

The Role

This role is responsible for leading, integrating and continuously improving the business support functions that enable the India business to operate efficiently, compliantly and effectively. The role provides leadership across business administration, corporate governance, company secretarial administration, financial control and reporting, and operational support services. Working closely with the Managing Director, Group Corporate Functions and external advisers, the Business Services Lead will ensure robust governance, effective operational controls and continuous improvement to support the ongoing growth of the India business.

Business Administration
  • Lead the day-to-day delivery of business administration services.
  • Develop and maintain efficient administrative systems, processes and procedures.
  • Coordinate office administration, facilities and business support activities.
  • Support the implementation of business systems and digital tools that improve efficiency.
  • Ensure company records and documentation are maintained accurately and securely.
Corporate Governance And Company Secretarial
  • Act as the local liaison with the Group Company Secretariat and external advisers on statutory and corporate governance matters.
  • Coordinate local company secretarial activities and support statutory filings in accordance with Indian regulatory requirements.
  • Support the preparation of Board and shareholder meetings, including the coordination of agendas, papers and minutes.
  • Maintain statutory registers and governance documentation.
  • Promote compliance with Group governance standards and local corporate requirements and help develop local corporate standards.
Financial Control And Reporting
  • Own the coordination of budgeting and forecasting activities for the India entity.
  • Prepare and maintain monthly management reporting, financial dashboards and performance insights.
  • Monitor expenditure, budgets and cash flow, supporting effective financial planning and control.
  • Oversee the delivery of accounting services provided by the outsourced finance partner and liaise with the Group Accounts Payable and Accounts Receivable teams to ensure efficient financial operations.
  • Maintain effective financial controls and support statutory reporting, audits and compliance, working closely with external accountants, auditors and tax advisers.
Compliance And Risk
  • Support compliance with Group policies and local legal and regulatory requirements.
  • Maintain operational policies, procedures and business records.
  • Coordinate insurance administration and support business continuity activities.
  • Monitor business risks and support the implementation of effective internal controls.
Stakeholder Management
  • Act as the primary operational liaison between the India business and Group Corporate Functions including HR, Finance, Legal, IT and Procurement.
  • Coordinate activities with external service providers including payroll providers, accountants, auditors, banks, legal advisers and regulatory bodies.
  • Build effective relationships with customers, suppliers and government authorities where required.
Procurement And Supplier Management
  • Coordinate procurement of office equipment, facilities and business services.
  • Manage supplier contracts and service agreements.
  • Monitor supplier performance and costs.
  • Identify opportunities for cost efficiencies.

Key Skills, Knowledge And Experience
  • Degree in Business Administration, Commerce, Finance or a related discipline.

  • Working knowledge of Indian statutory and regulatory requirements.
  • Proficient in Microsoft Office and business systems.
  • Significant experience leading business support, corporate services, administration or finance functions within a commercial environment.
  • Experience supporting financial reporting, budgeting and operational controls.
  • Experience working with outsourced service providers and cross-functional stakeholders.
  • Experience leading governance, compliance and continuous improvement initiatives.
  • This role is to be based at our Mumbai office therefore; you will need the right to work and reside in India to apply.
