The Opportunity:

The Opportunity: Entry level position; answers routine questions and issues from external or internal customers. Frequently escalates more complex customer complaints or issues to more senior customer service representatives. Avantor is hiring for the position of Associate - Exports, an entry-level role requiring 6 months to 1 year of experience. The ideal candidate should be capable of handling routine queries and resolving issues from both internal and external customers in a professional and timely manner. Frequently escalates more complex customer complaints or issues to more senior customer service representatives. He/she ensures and is responsible to register and follow up until finalization of all customer orders. Performs all tasks in accordance with internal customer and standards. Optimizes the lead time between customers' orders and deliveries, informing customers and tracking status of open orders as well as open items from past orders. Represents the company in front of customers and counterparts, documenting and forwarding to the person responsible within the company any issue communicated to be resolved. He or she will coordinate with many other departments to ensure an efficient daily workflow.

Key Responsibilities and Tasks:

• To raise customer orders on SAP and progress through to completion
• Web orders, and written orders
• Ensure export licenses are in place.
• Link quotations to orders
• Input correct shipping conditions taking into account relevant regulations.
• Ensure temperature-controlled products are treated in the correct way.
• Ensure all chemicals have at least 12 months expiry prior to shipment.
• Raise pro forma invoices.
• Ensure internal account managers are informed of any credit blocks or price discrepancies on orders
• To be responsible for the efficient releasing of all Export consignments across the various modes of dispatch by air and sea
• Respond to customer requests for product availability, expected delivery dates, status updates of orders, license import documentation through to letters of credit.
• Regularly liaise with internal account managers making them aware of any customer issues.
• Liaise with the outsourced freight organization to ensure that deliveries are released in a timely manner.

Skills, knowledge & experience:

• Highly motivated individual with outstanding customer focus.
• Good organizational and administrative skills.
• Computer literate, Word, Excel.
• Knowledge of SAP an advantage.
• Excellent communication skills both verbal and written.
• Ability to work as part of a team, in a busy department.
• Previous experience in Exports & Export knowledge is mandatory.
• The ability to work to deadlines under pressure whist maintaining a flexible approach.
