Job summary

HSBC Global Asset Management India Private Limited in Chennai is seeking an Admin/Facilities professional to manage day-to-day branch operations, vendor coordination and asset verification. You will oversee maintenance, invoices, safety compliance, and office supplies while ensuring HSBC standards.

The role requires 2+ years in admin duties and a graduate qualification, with strong communication and local language skills.

Qualifications

  • A good understanding of Administration, Infra and Facility related work.
  • Good verbal and written communication, team and interpersonal skills.
  • Ideally a graduate with minimum 2 plus years of experience in Admin function.
  • Knowledge of local languages.

Responsibilities

  • Manage day-to-day operational and administrative activities for branches/offices.
  • Monitor and oversee cleaning services across branches.
  • Verify and process monthly invoices (e.g., tea/coffee, drinking water, etc.).
  • Co-ordinate with vendors and internal stakeholders to address requirements.
  • Ensure repair and maintenance activities are completed within agreed timelines.
  • Negotiate rates and commercial terms with vendors as and when required.
  • Facilitate timely processing of payments in line with the agreed process.
  • Conduct branch visits (both physical and virtual) as needed.
  • Ensure timely completion of all assigned activities and deliverables.
  • Asset verification and asset tagging of all company assets of respective branches.
  • Maintain the branches at standard of HSBC compliance.
  • Ensure compliance with health and safety regulations and promote a culture of safety across the organization.
  • Coordination with landlords and building maintenance agency for the requirements. Collecting monthly rental and maintenance invoices.
  • Upkeep of all admin related requirements at branches (Hygiene, Stationery, Cleaning, HK Materials, etc.)
