Job Purpose

The Accounts & Finance Executive will be responsible for executing day-to-day financial transactions, bookkeeping, and statutory compliances strictly within the SAP Business One (SAP B1) environment.

The candidate must have a proven track record of using SAP B1 for daily accounting (not just as a viewer, but as an active user processing transactions). They must ensure accurate data entry, timely GST/TDS postings, and reconciliation within the system.

Key Responsibilities

A. Day-to-Day Accounting in SAP B1

• Transaction Processing: Pass daily journal entries, A/P (Accounts Payable) invoices, A/R (Accounts Receivable) invoices, and outgoing payments exclusively within SAP B1.
• Banking: Perform bank reconciliations in SAP B1, process bank transfers, and track bank charges.
• Petty Cash & Imprest: Manage petty cash vouchers and imprest accounts in the system.
• GL Maintenance: Ensure all transactions are mapped to the correct General Ledger (GL) accounts as per the Chart of Accounts.

B. Vendor & Customer Management

• Vendor Master & Payments: Create/maintain vendor master data in SAP B1, verify vendor invoices against Purchase Orders/GRPOs, and process vendor payments as per MSME/statutory timelines.
• Customer Invoicing: Generate A/R invoices based on delivery challans, manage customer advances, and track receivables.
• Reconciliation: Reconcile vendor and customer statements with SAP B1 ledgers to resolve discrepancies.

C. Statutory Compliance (GST & TDS) via SAP B1

• GST: Ensure GST is correctly captured in SAP B1 (CGST, SGST, IGST).
• Extract GSTR-1 and GSTR-3B data from the system, and assist in filing returns.
• TDS: Deduct TDS accurately in SAP B1 based on the nature of the expense (e.g., 194C, 194J, 194Q) and assist in generating TDS returns.
• MSME Compliance: Ensure vendor balances and ageing reports are correctly generated from SAP B1 to avoid Section 43B(h) disallowances.

D. Month-End & Year-End Closing

• Assist in passing month-end accruals and provisions within the system.
• Extract Trial Balance, P&L, and Balance Sheet from SAP B1 for management review.
• Support the statutory auditors by providing system-generated ledgers, reports, and data extracts.
