TikTok is seeking a Workplace Services Lead to shape exceptional experiences across our Dublin offices. You will lead vendor teams, manage budgets, and partner with cross-functional groups to optimise space and services.

As part of the Workplace Services team, you will drive process improvements, analyse data for insights, and oversee projects from planning to execution. This role requires strong communication, leadership, and an ability to travel as needed.

  • Foster a welcoming, user-centric workplace by partnering with cross-functional teams to enhance space utilisation and culture.
  • Data analysis and insights: research and present data-driven improvements through reports and visuals.
  • Project management: lead full-cycle projects with governance, tracking, and timely execution.
  • Continuous improvement: identify opportunities and implement workplace solutions to boost productivity and growth.

Responsibilities

The Workplace Services team takes the lead in developing an exceptional workplace experience across our regional offices. They drive workplace strategy, optimise performance, and enhance productivity and cost-efficiency. Through innovative programs and initiatives, they create a unique and user-centric workplace journey. They collaborate with cross-functional teams to maximise space utilisation and efficiency for all workplace users. The team also oversees essential services and continuously evolves its approach to elevate the company culture and foster a vibrant work environment.

Responsibilities
  • Leadership: Lead and develop vendor teams that support workplace services for one or more locations, including maintenance reporting, ticketing systems, operational improvements, on-call communications, group forums and office services.
  • Vendor Management: Oversee vendor and supplier teams, KPI performance, contract negotiations, service level agreements and performance reviews to optimise workplace services (e.g., cleaning, service contractors).
  • Budget & Inventory Management: Develop, manage, analyse and optimise investments/savings through cost control and expense tracking; ensure regional offices have required supplies, inventory and stock, including company-level displays and signage.
  • Company Culture, Partnership & Space Optimisation: Apply an employee- and business-first mentality to create a welcoming, user-centric environment; partner with cross-functional teams (Catering Services, Real-Estate & Facilities, EHS, Physical Security, IT) to enhance space utilisation, productivity and the overall workplace experience; and support events, community activities, well-being and merchandise initiatives that uplift the workplace experience.
  • Data Analysis & Insights: Research and analyse data to propose insights and improvements through reports, simplified visual representations and other quantitative and qualitative means to drive data-driven results and proposals.
  • Project Management: Lead and support full-cycle small and large-scale projects (e.g., office moves, internal programmes, regional events) with project governance, tracking, reporting, management and execution to deadlines.
  • Continuous Improvement & Growth Mindset: Is innovative and solution-focused; identifies business opportunities and continuously improves, develops and implements workplace solutions and programmes that enhance employee productivity and company growth.
Qualifications

Minimum Qualifications

  • Bachelors (BA) degree.
  • Holistic workplace, office management, community, events and facilities experience.
  • Excellent communication, interpersonal and presentation skills.
  • Strong leadership, development, business-partner and stakeholder-management skills.
  • Project/programme management and strong problem-solving skills; excellent judgment, decision-making and influencing skills, particularly in complex situations.
  • Ability to work from the office five days a week and travel internationally as required by the business.

Preferred Qualifications

  • Integrated Facilities Management (IFM) contractor/vendor experience, plus finance/budget/P&L management experience.
  • Strong ownership, data and insight skills; integrates and applies strategic and operational thinking in daily practices and projects.
  • Experience or potential to act at a regional level to influence and drive decisions and programmes.
  • IFMA, BOMA, CoreNet, PMP, or other industry-equivalent certifications preferred.
