Job summary

Morgan Stanley in Dublin is seeking a Senior Investor Services Representative/Associate to provide day-to-day investor services for fund managers and investors. You will ensure compliant, timely communication, and collaborate across legal, compliance and accounting to resolve issues.

The role emphasizes coverage across funds, onboarding of new clients, and improving processes to reduce risk while maintaining high service levels. Hybrid office/home arrangement.

Responsibilities

• Act as primary contact point to the fund manager for investor information.
• Act as contact point for fund investors.
• Communicate professionally and in line with firm policies.
• Ensure procedures, policies and processes are followed.
• Gain understanding of all funds to provide coverage when required.
• Ensure client month-end deliverables are met.
• Provide money movement notifications and prepare wire instructions for investor activity.
• Assist with distribution of investor reporting (statements, notes, PFICs, K1s).
• Collaborate with IS operations on order-related queries.
• Coordinate with legal, compliance, accounting to address client needs and resolve issues.
• Participate in onboarding of new clients and be active in client meetings.
• Identify opportunities to improve processes to meet client needs, boost efficiency, and reduce risk.
• Ensure awareness of TA controls and timely escalation of issues.
• Be a point of contact with client IS team.
• Suggest system enhancements to reduce risk and improve service.
• Work on projects and ad-hoc tasks as required.

Responsibilities of a Senior Investor Services Representative include:

• Providing day-to-day investor services to both the Fund Manager and the investors in the fund.
• Meeting the delivery of services to clients against a pre-agreed service level agreement.
• Keeping line management appraised of operational issues in a timely manner.

What will you be doing?

• Act as a primary contact point to the fund manager for investor-related information.
• Act as a contact point for fund investors.
• All communication with investors and fund managers must be professional and compliant with the Firm’s communication policies.
• Ensure that procedures, policies, and processes are adhered to.
• Gain an understanding of all funds across the team in order to provide coverage when required.
• Ensure client month-end deliverables are being met.
• Provide money movement notification to the client (s) and prepare wire instructions for money movements for investor activity.
• Assist with the distribution of investor reporting such as statements, contract notes, offering documents, K1’s, PFIC’s, month end estimates.
• Collaborate with IS operations team to assist with order related queries.
• Collaborate with internal departments such as legal, compliance, accounting to address client needs and resolve complex issues.
• Participate in the onboarding process of new clients.
• Be an active participant in client meetings.
• Proactively identify and act on opportunities to improve current processes to meet the changing requirements of our clients, to improve efficiency, or to reduce risk.
• Ensure an awareness of and adherence to the key TA controls at all times.
• Ensure that line management is made aware of any client or operational issues in a timely manner. This will include escalating for action as well as escalating for information.
• Be an established point of contact with client IS contact.
• Identifying system enhancements that reduce operational risk, create operational efficiency, or improve customer service.
• Work on projects /Ad-hoc tasks as required.

What we’re looking for:

• Prior experience working in a hedge fund administration firm with experience in all aspects of the role of an Investor Services Administrator. Alternative experience may be considered.
• An aptitude for client service.
• Good administrative and organising skills with a particular focus on accuracy and attention to detail.
• An ability to work under pressure and an ability to cope with increased workloads at month-end.
• Demonstrate team player qualities within the investor services team.
• An ability to work as part of a global team.
• An ability to use key financial systems and other IT tools.
• A strong knowledge of the core processing and reporting functions.

Skills that will help you in the role:

• Knowledge of hedge fund processing is a strong advantage.
• Knowledge of Irish Regulated Funds such as UCITS, ICAV’s is desirable but not essential.
• A third level qualification / college degree – preferably in a business or numerical discipline.
• Self-motivated with the ability to work independently as well as part of a team.
• Strong verbal and written communication skills.
