Job summary

ALS Minerals, based in Loughrea, is seeking a receptionist to join our team. You will greet visitors, answer calls, coordinate meetings, and provide admin support.

The successful candidate will report to the Client Services Manager and play a key role in maintaining a professional reception and supporting site operations while upholding HSE and confidentiality.

Qualifications

  • Leaving cert or equivalent.
  • Excellent communication skills.
  • Experience as a receptionist in a fast-paced environment is advantageous.
  • Proficient in Microsoft Office.
  • Excellent verbal and written communication skills, with strong grammatical ability.
  • Strong administrative, organisational and time management skills.

Responsibilities

  • Greet visitors, clients, and contractors; provide a professional first point of contact
  • Answer, screen, and route incoming calls; take accurate messages and follow up as needed
  • Demonstrate judgement, creativity, integrity and ability to problem solve
  • Maintain a tidy, welcoming reception and waiting area
  • Manage meeting room bookings, calendars, and visitor schedules
  • Assist with meetings logistics, set up meeting room and coordinate refreshments
  • Coordinate visitor sign-in/sign-out, support onboarding/offboarding activities such as access cards and follow site security/HSE procedures
  • Handle incoming/outgoing mail and courier deliveries; arrange pickups and track consignments
  • Order, receive, and restock office supplies; manage stationery, ticket books, etc.
  • Provide administrative support/office management duties as required.
  • Maintain contact lists and internal directories, update noticeboards and reception information
  • Report on facilities issues and coordinate with maintenance/building management
  • Support office events and site communications as required
  • Ensure confidentiality and comply with company policies, privacy, and record-keeping requirements
  • Log deliveries and coordinate with Purchasing and Sample Preparation for pickup from reception.
  • Maintain a sufficient stock of clean, laundered lab coats, safety shoes and sanitised safety glasses at the reception area for visitors/contractors.
  • Ensure full compliance with all quality, health, safety & environment (HSE), site security procedures, and company core values at all times.
  • Any additional tasks required by ALS Management
