Expeditors International in Ireland (Dublin area) seeks a Project Coordinator for the Equipment Supply Chain (ESC) Program. This full-time role supports front-end project initiation, planning, and execution reporting by coordinating planning, scheduling, and tracking of projects with PMs and customers.

The position requires a Bachelor's degree or equivalent, 2+ years in supply chain/logistics, and strong communication and documentation skills.

Qualifications

  • Bachelor's degree or equivalent working experience.
  • 2+ years experience in supply chain and logistics.
  • Experience with data centers and large-scale construction projects.
  • Effective communication and negotiation skills.
  • Ability to define, develop, document, and implement business processes and procedures.
  • Self-starter with the ability to triage and prioritize tasks in a fast-paced environment.
  • Strong knowledge of PowerPoint, Microsoft Projects, Visio, Lucidchart, Smartsheets, and Excel or Google Sheets.
  • Manufacturing or machine production knowledge (a plus).

Responsibilities

  • Assists with project proposals and deliverables with Project Management and other related departments that will be involved to determine proper lead time.
  • Documents, tracks and receives project documentation and deliverables
  • Send follow-ups as necessary to ensure project activities are completed in a timely manner
  • Shares information and updates with project team members as relevant to project activities
  • Assist in documentation and tracking of project risks, issues, action items and decisions as part of the project management activities
  • Assist PM in developing necessary documents, presentations or reports
  • Follow-up and track project statuses and update the project tracking system with pertinent information
  • Create project related reports from the project work breakdown structure
  • Work with PMs on documenting project scope and high-level requirements
  • Disseminate information related to project schedules
  • Attend quality review status meetings. Capture notes and action items and disseminate as appropriate
  • Assist in tracking, monitoring, and communicating project-related issues, scope changes, variances and contingencies that may arise
  • Maintain effective communication and working relationships with project team members
  • Other responsibilities as assigned

Description:

The Project Coordinator, ESC Program, provides varied and advanced level administrative and support services of front-end project initiation, planning, and execution reporting for the Equipment Supply Chain (ESC) Program. This role will work closely with PMs to coordinate the planning, scheduling, and tracking of projects, programs, and initiatives. The candidate will be expected to employ strong technical and organizational skills to coordinate requirements and deliverables with the customer; document best practices; schedule and prioritize tasks; gather inputs and prepare documentation or briefings for/from technical review meetings.

  • Strong knowledge of PowerPoint, Microsoft Projects, Visio, Lucid, or Smartsheets (preferred)
  • Advanced knowledge of Excel or gSheets
  • Manufacturing or machine production knowledge (a plus)
