National SPCA Dublin - Inspectorate Administrator
Location: National SPCA Dublin, Mount Venus Road, Rathfarnham.
Reports to: Chief Coordinator
The Inspectorate Administrator will support the Inspectorate Coordinator and play a crucial role in ensuring that the National SPCA remains a leading voice for animal welfare in Ireland.
This role provides a unique opportunity to make a lasting impact on the lives of animals in Ireland. The role of the Inspectorate Administrator will be to support and oversee the caseload of the National SPCA Inspectorate team in order to make a meaningful difference to the animals of Ireland.
Principal duties and responsibilities of this role include:
Administrative Support
- Provide day-to-day administrative support to the Inspectorate Coordinator and inspectorate team.
- Answer telephone calls, emails, and general enquiries relating to welfare concerns and inspectorate operations.
- Assist with logging incoming reports and maintaining accurate records within internal systems.
- Prepare correspondence, reports, meeting notes, and operational documentation as required.
- Maintain organised filing systems for both digital and physical records.
Case File Management
- Assist with the preparation, organisation, and maintenance of inspectorate case files.
- Ensure all case documentation, photographs, veterinary records, witness statements, and correspondence are accurately filed and updated.
- Monitor documentation for completeness and follow up on missing information where necessary.
- Support the preparation of files for management review, legal proceedings, or external agency requests.
Operational Coordination Support
- Support the coordination of inspector schedules, appointments, and daily activities.
- Assist with monitoring inspector movements and updating operational trackers.
- Maintain accurate logs of case activity, welfare reports, and inspection outcomes.
- Help coordinate communication between inspectors and centres.
- Assist with contacting centres regarding intake availability and placement updates.
- Record and update animal movement and placement information accurately within internal systems.
Data and Compliance Administration
- Ensure confidential information is handled securely and in line with organisational policies and data protection requirements.
- Assist with compiling operational statistics, reports, and case summaries.
- Maintain accurate databases and support data entry across inspectorate systems.
- Contribute to maintaining compliance with organisational procedures and record-keeping standards.
Operational Coordination, Organisation and Administrative Support
- Ability to support the coordination of schedules and operational activities.
- Capable of maintaining operational logs, updating databases and supporting a smooth flow of information.
- Ability to manage competing priorities and maintain accurate records.
- Ability to prepare correspondence, reports, documentation and maintain organised filing systems to support operational efficiency.
Communication
- Ability to communicate clear operational instructions and support collaborative working.
- Excellent communication and interpersonal skills with the ability to liaise effectively with inspectors, centres, management and external agencies.
Case and Records Management
- Strong attention to detail and administrative skills, with the ability to manage and review complex case files, identify any missing information and address this appropriately.
- Capable of handling sensitive information with discretion while ensuring that all documentation is completed in line with organisational and legal requirements.
Data Management and Compliance
- Strong attention to detail with the ability to maintain accurate databases, operational records and reporting systems.
- Knowledge of confidentiality, data protection and record keeping requirements to ensure compliance with organisational and legislative requirements.
Experience and Education:
- Experience working within animal welfare and/or emergency response.
- Experience working in a role requiring maintenance of records, databases, preparing reports and/or case management.
- Experience working in an operational support and/or administrative role.
- A qualification in a related discipline is desirable, but not essential.
