The Mater Private Network is seeking an experienced, high-caliber Medical Secretary to join our team in Dublin. Operating in a dynamic, fast-paced environment across both clinics and treatment areas, you will provide vital administrative support to a dedicated group of Consultants, ensuring the seamless operation of their private practices and the highest standard of patient care.
Key Responsibilities
- Practice & Clinic Management: Oversee daily operations for assigned Consultants; schedule clinic appointments across multiple locations, manage cancellation slots to maximize booking efficiency, and sit consultant clinics directly in Dublin.
- Patient Care & Communication: Serve as a professional, empathetic point of contact for patients; manage incoming calls, emails, voicemails, and text messages promptly while upholding rigorous patient care and safety standards.
- Administrative & Financial Operations: Process all service referrals within established timeframes; manage referrals for external testing/bookings; collect patient payments on behalf of Consultants; generate monthly financial reports for Consultants and hospital administration.
- Documentation & Software Systems: Prepare and verify all necessary patient documentation ahead of clinics; maintain accurate records using iMedDoc, the Hospital Patient Administration System (PAS), and Microsoft Office (Word, Excel, Outlook).
Requirements & Qualifications
- Education: Leaving Certificate or equivalent; a Medical Secretary Diploma or relevant qualifications is highly desirable.
- Experience: Minimum of 2 years' experience in a similar medical secretarial role, ideally supporting private practices or hospital consultants.
- Technical Proficiency: Hands-on experience with medical administration software (iMedDoc and Hospital PAS) along with proficiency in MS Office.
- Key Skills: Exceptional interpersonal, communication, and coordination skills with deep sensitivity to patient needs; strong attention to detail; ability to exercise initiative to enhance service delivery; proven capacity to work under pressure and meet tight deadlines.
- Flexibility: Adaptability regarding working hours to accommodate varying consultant clinic schedules.
