Klaviyos is seeking a Manager, Workplace Experience to lead operations across our international office portfolio, including Dublin, London, Paris, and beyond. Based in Dublin, you’ll oversee a distributed team, drive programs that enhance employee experience, and partner with Real Estate, IT and Communications to scale our workplace strategy.

Manager, Workplace Experience

We’re seeking a Manager, Workplace Experience to lead Workplace Experience operations across the company’s international office portfolio, including Dublin, London, Paris, Munich, Sydney, and Singapore, while helping scale future EMEA and APAC evolution efforts.

Based in Dublin, this role will oversee a distributed Workplace Experience team supporting office operations, employee experience, workplace programs, and regional expansion initiatives across multiple countries and time zones. This leader will partner closely with the Head of Communications, Workplace & Experiences, the US Workplace Experience Manager, and Real Estate leadership to help shape and scale the company’s global workplace strategy.

How You’ll Make a Difference
  • Lead, hire, coach, and develop the international Workplace Experience team supporting the company offices across EMEA and APAC.
  • Own Workplace Experience operations across the company’s international office portfolio, balancing consistency, scalability, and local market needs across multiple countries, vendors, and regulatory environments.
  • Partner on the evolution of the company’s global workplace experience strategy while driving operational excellence across the international office portfolio.
  • Act as the on-the-ground Workplace Experience partner for the continued evolution of the company’s Dublin headquarters, supporting buildout execution, employee readiness, workplace operations, and change management efforts in partnership with Real Estate and cross-functional teams.
  • Support EMEA and APAC expansion initiatives, including evaluating new office locations, standing up operational processes, managing vendors and facilities partners, and helping launch new workplaces that reflect the company’s culture and standards.
  • Serve as a strategic partner to Workplace Experience leadership and cross-functional stakeholders, translating employee feedback, utilization data, and operational insights into recommendations that shape workplace investment, office design, and programming decisions.
  • Build a culture of continuous improvement by identifying operational gaps, diagnosing root causes, and implementing scalable solutions across offices and workflows.
  • Partner closely with Employee Experience and Internal Communications teams to support thoughtful, high-quality in-office programming, cultural initiatives, and employee events across regions.
  • Lead vendor management across the international portfolio, including sourcing, contract negotiation, performance management, and strategic vendor partnerships.
  • Partner on workplace planning and space utilization strategy using tools like OfficeSpace, leveraging data and employee feedback to inform workplace decisions and future growth planning.
  • Drive workplace technology improvements in partnership with Global IT, evaluating tools and systems that improve the employee experience across conference rooms, desk booking, digital signage, visitor management, and office operations.
  • Help evolve workplace policies, procedures, and safety standards to ensure consistency, scalability, and local compliance across EMEA and APAC offices.
  • Partner with New Hire Success and local office teams to deliver a thoughtful and consistent onboarding experience for employees joining across international offices.
  • Establish operational standards and accountability mechanisms that ensure every the company office reflects the quality of our brand and employee experience expectations.
  • Oversee workplace operations across office services, supplies, food & beverage, and employee amenities with a focus on quality, efficiency, and scalability.
  • Lead complex, cross-functional workplace projects including office launches, moves, reconfigurations, and operational improvement initiatives across multiple regions and time zones.
  • Create a thoughtful, high-quality visitor and employee experience that reflects the company’s culture across every office location.
  • Help shape the future of the Workplace Experience function as the company continues to scale internationally.
Who You Are
  • 7–10+ years of progressive experience in workplace experience, office operations, hospitality, facilities management, or related operational leadership roles, including experience managing and developing teams in fast-growing environments.
  • An experienced people leader who builds high-performing teams through clear expectations, coaching, accountability, and strong operational partnership.
  • A systems thinker who operates comfortably at both the strategic and tactical level. You can zoom out to improve long-term operating models while staying close to day-to-day workplace execution.
  • Strong operational expertise across workplace management, vendor operations, office launches, workplace technology, employee experience programming, and regional office management.
  • Experience operating across multiple offices, countries, or regions with an understanding of how to balance global consistency with local market needs.
  • Exceptional communicator who builds trust and collaborates effectively across leadership teams, vendors, and cross-functional partners.
  • Strong project and program management instincts with the ability to manage competing priorities, navigate ambiguity, and drive execution across multiple stakeholders and time zones.
  • Proficiency with GSuite and Slack required. Experience with workplace management platforms such as OfficeSpace, Freshworks, or similar tools strongly preferred.
  • Comfortable operating with high autonomy in a fast-growing environment while balancing strategic thinking with hands-on execution.
  • Outgoing, personable, and polished, with a hospitality-minded approach to workplace experience and team leadership.
  • This is a highly collaborative, primarily onsite role based in Dublin, with flexibility required to support workplace programming, office operations, and coordination across international time zones.
