Job summary

An Post is seeking a Legal Operations Assistant reporting to the General Counsel within the Legal Department to provide legal administration and operations services, while supporting the GC, HR, and the Disputes Business Partner. The role will promote and embed technology use across the department.

You will manage day-to-day office operations, create and archive case files, prepare papers for hearings, support budget reporting, and drive efficiency through analytics and transformation projects.

Qualifications

  • Detail-oriented with excellent organizational and communication skills.
  • Strong teamwork and ability to multi-task under deadlines.
  • Proficient in Microsoft Word, PowerPoint and Excel.
  • Experience in an in-house Legal Department or knowledge of legal operations.

Responsibilities

  • Office management for the Legal Department including attendance, reporting, meetings, invoices, and filing.
  • Create and archive case files within the case management system per retention policy.
  • Prepare papers for TV Licence prosecutions and assist counsel in court.
  • Draft briefs for counsel and support litigation-related admin for hearings.
  • Manage internal and external communications with stakeholders.
  • Support External Counsel management, cost recording, and quarterly engagement reports.
  • Assist General Counsel with budget analysis and reporting for the Legal Department.
  • Support Transformation initiatives including new Ways of Working and technology adoption.
  • Promote use of technology and data analytics in the Legal Department; ensure system use.
  • Generate management information and identify efficiencies.

Job description

Reporting to General Counsel, the role of Legal Operations Assistant sits within the Legal Department. In this role, you will be responsible for providing a variety of legal administration and legal operations services to the Company. You will provide support and assistance to the General Counsel, HR, the Disputes Business Partner and the Legal Department on a day to day basis. In your role, you will promote and embed the use of technology by the Legal Department.

Responsibilities

The responsibilities associated with the role include, but are not limited to:

  • Day to day office management of the Legal Department including recording of attendance, management reporting, scheduling meetings, preparing agendas, set up and processing of invoices, and filing correspondence.
  • Developing file creation, file management and archiving procedures on case management system, while ensuring compliance with Legal Department data retention policy.
  • Preparing papers for TV Licence prosecution hearings and attending on counsel in court.
  • Preparing briefs for counsel and other administrative work related to litigation cases and preparation for court hearings.
  • Managing internal and external communications to key stakeholders.
  • Supporting the management of External Counsel, recording costs, and preparing quarterly reports to assist engagement.
  • Supporting the General Counsel in preparing, analysing and reporting on the Legal Department budget.
  • Assisting General Counsel with Transformation initiatives including re-organisation and implementation of new Ways of Working.
  • Driving and embedding the use of technology and data analytics in the Legal Department:
  • Ensuring case management system correctly and accurately used by full department,
  • Promote use of intranet by clients, keep intranet up to date and report on metrics,
  • Experiment with new forms of technology to increase efficiency of department (e.g. AI, short videos etc.)
  • Generate management information, analysing data to identify potential efficiencies and process improvement.
  • Supporting projects and initiatives as required.
  • Demonstrating An Post values and behaviours in your day to day work and addressing behaviour that supports/conflicts with them.
Qualifications

The ideal candidate should have a high level of attention to detail, excellent organisation and communication skills (verbal and written). You should be a strong team player with the ability to multi-task and adapt to changing demands and deadlines.

You will be computer literate with a high level of experience in using Microsoft Word, PowerPoint and Excel.

You will have a legal diploma, under-graduate degree or considerable experience of working in an in-house Legal Department. Strong knowledge of legal operations and procedures is required.

You have proven ability to communicate effectively with stakeholders at all levels and translate complex material into meaningful information. You take initiative and self-manage, work to tight deadlines and excel under pressure.

Salary range starting from €47,323.

Placement within the advertised salary range will be determined based on the successful candidate’s skills, experience, qualifications and alignment with the role requirements.
