Job summary

Lex Consultancy, a respected professional services firm based in Dublin 6, seeks an experienced Intellectual Property Administrator to join its Trademark team on a permanent hybrid basis. You will support attorneys with trademark administration, document preparation, filing deadlines, and client correspondence.

The role requires at least three years in a legal or professional services admin role, with excellent organisation and proficiency in Word, Excel, and case management tools.

Responsibilities

  • Prepare, format, edit, and manage legal documentation with accuracy and attention to detail.
  • Process trademark filings, including online forms and supporting documents.
  • Prioritise urgent correspondence and coordinate communications with clients.
  • Support project management initiatives and improve productivity using MS Planner.
  • Produce and maintain accurate records and meet filing deadlines.
  • Provide reception cover as required.
  • Prepare invoices and maintain billing records.

Job description

A respected professional services firm based in Dublin 6 is seeking an experiencedIntellectual Property Administrator to join its Trademark team. This permanent hybrid role offers an excellent opportunity to work in a collaborative, client-focused environment while supporting attorneys with a broad range of trademark administration duties.

The successful candidate will be responsible for effective case management, document preparation, client correspondence, and administrative support. A meticulous approach, excellent organisational skills, and the ability to manage competing priorities are essential.

Key Responsibilities

  • Prepare, format, edit, and manage legal documentation with exceptional accuracy and attention to detail.
  • Process trademark filings, including the preparation and submission of online forms and supporting documentation.
  • Prioritise urgent correspondence and coordinate communications with clients.
  • Support project management initiatives and contribute to departmental productivity using MS Planner.
  • Produce and maintain accurate records and ensure all filing deadlines are met.
  • Provide reception cover as required.
  • Prepare invoices, obtain purchase order numbers, and maintain accurate billing records.

Candidate Profile

  • A minimum of three years' experience in a similar role within a legal or professional services environment including the preparation and submission of filing documentation and the management of critical deadlines.
  • Exceptional attention to detail, with the ability to produce consistently accurate work while managing a busy and varied workload.
  • Excellent organisational and time management skills, with the ability to prioritise competing demands and meet strict deadlines.
  • Confident communicator with excellent written and verbal communication skills and a professional, client-focused approach.
  • Proactive, adaptable, and capable of working effectively both independently and as part of a collaborative team.
  • Proficient in Microsoft Word and Excel, with experience using case management systems and workflow tools such as MS Planner being advantageous.
  • Demonstrates a high level of professionalism, discretion, ownership, and commitment to maintaining confidentiality.
  • Permanent hybrid position with a requirement to work on-site two to three days per week.
