Our client, a leading law firm, is seeking an experienced Legal Secretary to join their Dublin team on a permanent basis.
This is an excellent opportunity for a highly organised and proactive legal support professional to work alongside a busy team of senior legal professionals, providing high-quality administrative and operational support.
Key Responsibilities
- Provide comprehensive legal administrative and secretarial support to the team.
- Manage the end-to-end file lifecycle using the firm's legal case management systems.
- Maintain accurate and up-to-date files, including importing guidelines, accessing documents and preparing and issuing correspondence such as demand letters.
- Prepare documentation, materials and information for internal and external meetings.
- Coordinate the team's monthly billing process, ensuring invoices are accurate and issued within required deadlines.
- Manage diaries and schedules, ensuring appointments are organised efficiently and potential conflicts are avoided.
- Liaise professionally with internal and external stakeholders to understand and respond to their requirements.
- Handle sensitive and confidential information with the highest level of discretion.
- Produce documents accurately and efficiently, working with document specialists where required.
- Arrange travel and prepare detailed itineraries.
- Process time records and expense reports.
- Greet and liaise with clients and business visitors in a professional and welcoming manner.
- Provide general administrative support to ensure the smooth running of the team.
Candidate Profile
The ideal candidate will have:
- 3-5+ years' experience in a Legal Secretary or Legal Executive support role, ideally within a projects, construction or commercial legal environment.
- Previous experience supporting senior legal professionals and managing multiple stakeholders.
- Experience using iManage or a similar legal document/case management system.
- Experience with a legal billing platform such as KeyHouse or a similar system.
- Exceptional attention to detail and a high level of accuracy.
- The ability to work with strict confidentiality and discretion.
- Excellent written and verbal communication skills.
- Strong organisational and time-management skills, with the ability to prioritise competing deadlines.
- A proactive, positive and solutions-focused approach.
- The confidence and professionalism to work effectively with senior stakeholders and clients.
