Role Purpose
This is an important specialist role within the Customer Operations & Portfolio Management team based in Dublin. The role has a primary focus on specific European legacy portfolios and supports the effective oversight of operational business-as-usual (BAU) activity, reporting, governance, sampling, audit readiness, and project delivery.
The successful candidate will work closely with external outsourcing partners, internal Compliance, Risk, Finance, Actuarial, Legal, and other stakeholders to ensure service levels, regulatory requirements, and customer outcomes are consistently delivered to a high standard.
This role is classified as a Controlled Function (CF) in accordance with the Central Bank of Ireland's (CBI) Fitness and Probity Regime. Applicants must be aware of the requirements to meet and maintain their ongoing appropriateness for the role in terms of the Fitness and Probity requirements set out by the CBI.
Key Responsibilities
Operational BAU and Compliance
- Portfolio Oversight: Oversee BAU activity mainly focused on assigned European portfolios, monitoring SLA performance, control completion, and timely resolution of operational issues.
- Escalation Processing: Ensure high-priority and compliance-sensitive cases are processed within the agreed 2-day SLA, ensuring checklists are completed accurately for Compliance sign-off.
- Executive Tracking: Track and drive follow-through on Executive Committee and CEO decisions, ensuring owners, timelines, and outcomes are defined and delivered.
- Procedure Management: Maintain, draft, and coordinate the annual review of relevant operational procedures, ensuring all documentation is up to date and subject to an effective review cycle.
Reporting and Governance
- Performance Reporting: Produce and coordinate daily, weekly, and monthly reporting to a high standard, including dashboards and monthly SLA reporting.
- Governance Forums: Coordinate monthly/quarterly governance forums, including scheduling, presentations, minutes, and internal communications channel updates.
- Continuous Improvement: Strive to enhance reporting and create operational efficiencies by leveraging available digital and AI tools.
Sampling, Quality and Audit
- Quality Assurance: Complete monthly quality reviews within agreed timelines, ensuring checklists, peer reviews, and supporting documentation are completed and retained appropriately.
- Data Quality: Own and coordinate data quality queries from the Actuarial team, working closely with outsourcing partners and internal teams to provide complete and timely responses.
- Complaints Oversight: Conduct complaints sampling and support oversight by documenting findings, monitoring trends, and escalating matters where required to promote fair customer outcomes.
- Audit Support: Support internal and external audits, including the timely closure of audit actions.
Projects and Change
- Operations Projects: Support key business projects impacting Customer Operations.
- Communications Drafting: Draft and review customer communications, Q&A material, and process documentation, ensuring operational actions are tracked and closed on time.
Functional/Technical
- Industry Knowledge: Deep understanding of the insurance industry.

- Languages: Fluent in English and German; additional European languages (such as French) would be a distinct advantage.

Candidate Profile: Experience & Qualifications
- Experience: 5 years of experience in life insurance operations, with a strong understanding of complaints handling, operational controls, outsourcing oversight, and customer service.
- Regulatory Knowledge: Sound knowledge of life insurance regulatory requirements and emerging industry developments.
- Qualifications: QFA qualified, or a strong willingness to complete a relevant insurance qualification and maintain the required CPD.
- Technical Tax Reporting: Knowledge of CRS/FATCA reporting an advantage.
- German speaker required - does not need to be native speaking
