Role Purpose

We are seeking a highly motivated and customer-focused Facilities Coordinator to join our team in Ireland. This role is critical in delivering exceptional facility services and creating outstanding workplace experiences.

The FC is responsible for working directly with the local client to ensure a thorough understanding of their objectives and the implementation of acceptable property-specific operating strategies that achieve the required standards.

As the primary point of contact for employees and visitors, you will ensure our facilities operate seamlessly, safely, and efficiently while embodying JLL’s commitment to excellence and innovation.

What this job involves

Delivering Operational Excellence

• Oversee day-to-day building operations including HVAC, electrical, and plumbing systems
• Implement and coordinate preventive and corrective maintenance programs to maximize asset performance
• Drive operational efficiency and minimize service disruptions
• Monitor building systems performance and proactively address technical challenges

Managing Soft Services

• Oversee cleaning and hospitality services to maintain premium workplace standards
• Coordinate both scheduled and ad-hoc service delivery
• Ensure service quality consistently exceeds client expectations
• Partner with service providers to drive continuous improvement

Strategic Budget & Vendor Management

• Manage facilities budgets with a focus on cost optimization and value creation
• Build and maintain strong relationships with contractors and service providers
• Participate in vendor selection, contract negotiations, and performance management
• Track financial performance and provide transparent reporting to stakeholders

Optimizing Space & Workplace Experience

• Plan space utilization strategies that enhance productivity and collaboration
• Coordinate office layouts, moves, and workplace reconfigurations
• Manage storage solutions and maintain organized common areas

Ensuring Health, Safety & Regulatory Compliance

• Maintain rigorous compliance health and safety regulations
• Conduct systematic safety inspections and risk assessments
• Manage supplier documentation, certifications, and compliance records
• Champion a culture of safety and wellbeing across the facility

Providing Exceptional Office Management

• Manage procurement of office supplies, equipment, and consumables
• Coordinate mail and parcel services (reception, storage, distribution)
• Interface with service providers for delivery validations
• Partner with on-site vendors

Managing Access Control & Security Coordination

• Administer comprehensive access badge management (creation, activation, replacement)
• Coordinate with security teams for access permissions and canteen access
• Manage locker and cabinet assignments for employee arrivals and departures
• Maintain accurate records and ensure secure facility access protocols

Being the Face of Facilities

• Serve as the single point of contact for all employee facility-related inquiries
• Coordinate incident response and resolution within office premises
• Liaise with external providers (vending, coffee machines, water dispensers)
• Monitor on-site vendor activities and ensure service excellence
• Build trusted relationships with building occupants and stakeholders
• General administration of department, (holidays, training, performance reviews etc.).
• Updating and maintaining official safety documents, liaise with government authorities.
• Organization of fire evacuation and first aid training for employees.
• Point of Contact for security/alarm responding
• Deputise / provide cover for Office Services Coordinator / Building Operations Coordinator when appropriate.
• All additional duties commensurate to the level of the role
