Responsibilities

  • Lead stabilisation and optimisation initiatives for live BonsConnect sites, initially Limerick and Tralee, with governance, plans and deliverables.

  • Collaborate with site leadership, clinical and IT teams, Health Informatics, Revenue Cycle, operational managers and vendors.

  • Coordinate priority workstreams: workflow improvement, system configuration, testing, reporting, training, and communications.
  • Define stabilisation framework with entry/exit criteria, ownership, and escalation routes.
  • Establish an Operational Excellence Forum for site teams to review health indicators and outcomes.
  • Create benefits realisation plans and monitor delivery across sites.
  • Ensure smooth transition of improvements to business-as-usual operations.
  • Prepare concise status reports for governance forums and maintain RAID/change logs.

Job Title: EHR Stabilisation and Optimisation Manager Reporting to: IT Programme Director Location: National & other BSHS sites as required Appointment: Full Time, 2-year fixed term contract

Job Purpose

The EHR Stabilisation and Optimisation Manager will lead and manage a portfolio of BonsConnect live-site stabilisation, optimisation and operational-excellence initiatives, with an initial focus on Bon Secours Hospital Limerick and Bon Secours Hospital Tralee. The post holder will work under the direction of the IT Programme Director to plan, coordinate, govern and deliver work that improves system stability, workflow effectiveness, user adoption, operational ownership, benefits realisation and sustainable business-as-usual performance following go-live. The role will act as a key bridge between the programme team, live-site operational teams and future deployment teams. The post holder will ensure issues and improvement opportunities are assessed, prioritised, converted into deliverable project plans, implemented safely and transitioned to accountable operational owners. The post holder will also establish the Stabilisation and Optimisation operating model, including an Operational Excellence Forum, live-site health measures, stabilisation playbooks, readiness criteria and lessons learned that future deployment sites must meet before and after go-live.

Roles and Responsibilities
  • General Lead assigned stabilisation and optimisation initiatives for live BonsConnect sites, initially Limerick and Tralee, ensuring clear scope, governance, plans, risks, dependencies, decisions and deliverables.
  • Work closely with the IT Programme Director to prioritise live-site work, align resources and provide timely reporting on progress, risks, issues and decisions required.
  • Collaborate with site leadership, clinical teams, non-clinical teams, IT, Health Informatics, Revenue Cycle, operational managers, super users, MEDITECH and third-party vendors.
  • Maintain a structured portfolio of live-site issues, improvement opportunities and optimisation initiatives, ensuring items are triaged, assigned, tracked and closed through agreed governance.
Project Planning and Execution
  • Develop project charters and plans for stabilisation and optimisation initiatives, including objectives, scope, benefits, resources, milestones, dependencies, risks and reporting arrangements.
  • Coordinate priority workstreams including workflow improvement, system configuration change, testing and validation, reporting enablement, device and printing/scanning improvements, integration fixes, support model improvements, training refreshers and communications.
  • Ensure project plans identify accountable business owners and confirm how each improvement will transition into operational ownership once delivered.
  • Lead workshops, huddles and working sessions to define issues, agree solutions, validate changes, confirm training needs and secure stakeholder commitment.
Live-Site Stabilisation and Optimisation
  • Define a clear stabilisation framework for live sites, including objectives, entry criteria, exit criteria, operational ownership requirements, support thresholds, data/reporting controls and escalation routes.
  • Work with operational teams to identify where additional staffing, role clarity, super-user coverage, training or process ownership is required to sustain BonsConnect at site level.
  • Coordinate workflow tracer outputs, issue logs, ServiceNow themes, revenue-cycle observations, training feedback and site engagement outputs into a prioritised optimisation roadmap.
  • Support resolution of recurring live-site pain points, including workflow variation, workarounds, device and printing/scanning issues, support processes, reporting gaps, billing/reconciliation dependencies and adoption challenges.
Operational Excellence Forum
  • Establish and manage an Operational Excellence Forum for live BonsConnect sites, bringing together site operations, clinical leadership, IT, Health Informatics, Revenue Cycle, super users and programme representatives.
  • Use the forum to review live-site health indicators, issue themes, benefits progress, training needs, workflow adoption, support trends and recurring operational risks.
  • Coordinate concise forum packs, decisions required, action logs and follow-up reports for the IT Programme Director and appropriate governance groups.
  • Promote consistent ownership of post go-live improvements by ensuring outputs from the forum are converted into clear actions, owners, due dates and measurable outcomes.
Benefits Realisation and Performance Measurement
  • Develop benefits realisation plans for optimisation initiatives, including expected outcomes, baseline measures, target measures, owners, data sources and review cadence.
  • Work with Finance, Revenue Cycle, Operations, Clinical Leadership, IT and Health Informatics to identify benefits relating to workflow efficiency, adoption, data quality, reporting, revenue assurance, user experience and patient safety.
  • Track whether benefits are being realised after site activation and project closure and elevate barriers where operational ownership, data quality or system functionality is preventing delivery.
Service Optimisation and BAU Transition
  • Ensure that optimisation work does not remain project-owned indefinitely by establishing clear handover criteria, operational owners and agreed review points.
  • Define and monitor live-site health indicators, including issue trends, support responsiveness, workflow adoption, training gaps, data quality, charge/reconciliation controls and benefits realisation measures.
  • Develop a repeatable stabilisation playbook covering governance, super-user support, staffing readiness, workflow adoption, data/reporting controls, issue triage, benefits review and transition to business as usual.
  • Maintain a lessons-learned and improvement backlog for live sites, ensuring future deployments benefit from issues identified in prior sites.
Governance, Risk and Reporting
  • Prepare concise status reports for the IT Programme Director and programme governance forums, including progress, milestones, risks, issues, decisions required and escalations.
  • Maintain project artefacts including plans, RAID logs, action logs, decision logs, benefits trackers, change impact assessments and closure reports.
  • Ensure risks and issues are assessed and escalated appropriately, particularly where they may affect patient safety, operational continuity, revenue cycle performance, data integrity, information security or future deployment readiness.
Change, Training and Adoption
  • Work with site teams to ensure active super-user networks are in place, appropriately briefed and aligned to agreed workflows and support arrangements.
  • Identify refresher training, role-based crib sheets, communications and adoption supports required to reduce ticket volumes, improve confidence and embed standard ways of working.
  • Support practical materials for live sites, such as quick-reference guides, workflow clarifications, support escalation guidance and project communications.
Person Specification
Essential criteria
  • Undergraduate degree or equivalent professional experience in healthcare, information technology, business, project management or a related discipline.
  • Recognised project management qualification or equivalent experience, such as PMP, PRINCE2, Agile, Lean or graduate certificate in project management.
  • Postgraduate qualification in healthcare management, business, technology, informatics or project/change management.
  • Clinical, operational, health informatics, revenue cycle or service improvement qualification/background.
Experience
  • Significant project management experience in a complex healthcare, technology or operational environment.
  • Experience managing multiple workstreams, dependencies, risks, issues and stakeholders across clinical, operational and technical teams.
  • Experience supporting post go-live stabilisation, operational readiness, adoption, change management or optimisation of digital systems.
Desirable criteria
  • Postgraduate qualification in healthcare management, business, technology, informatics or project/change management.
  • Clinical, operational, health informatics, revenue cycle or service improvement qualification/background.
  • Experience with MEDITECH Expanse or another mainstream EHR/HIS/CIS platform.
  • Experience in acute hospital operations, revenue cycle, clinical workflow improvement, benefits realisation or service optimisation.
  • Experience establishing forums, governance groups or structured operational improvement routines.
