Job summary

Fairstone Ireland in South Dublin seeks an experienced Client Services Manager/Senior Administrator to deliver an exceptional client experience and support financial advisors with paraplanning and end-to-end client service management.

The ideal candidate has 3+ years in financial planning/wealth management, APA accreditation (Investments/Pensions/Life Assurance), and strong IT skills with CRM systems and MS Office. QFA is a plus.

Qualifications

  • Minimum 3 years' experience in a financial planning/wealth management firm in admin/client service roles.
  • APA accreditation in Investments, Pensions and Life Assurance; full QFA is advantageous.
  • Strong understanding of financial planning processes and products.
  • Excellent organisation and time management with attention to detail.

Responsibilities

  • Act as primary contact for existing clients, delivering exceptional service.
  • Coordinate client review meetings and prepare documentation with advisers.
  • Maintain client records in line with regulatory requirements.
  • Assist advisers with suitability reports and financial planning documentation.
  • Monitor workflows from instruction through to completion.
  • Support compliance through accurate record-keeping and processes.

Job description

We are seeking an experienced, organised and client-focused Client Services Manager/Senior Administrator to join our team in South Dublin. This is a key role within the business, responsible for delivering an exceptional client experience while supporting our financial advisors through high-quality paraplanning and end-to-end client service management. The successful candidate will ideally have experience in Small Self-Administered Pension Schemes (SSAPS) and play an integral role in maintaining and strengthening existing client relationships, ensuring every interaction is delivered with professionalism, accuracy and care.

This position is ideally suited to someone with previous experience working for a financial planning and wealth management firm who has experience in building and maintaining long‑term relationships, takes pride in delivering outstanding service, and thrives in a detail‑oriented environment. The successful candidate will work closely alongside financial advisors/wealth managers to ensure clients receive a seamless and efficient experience throughout their financial planning journey.

Key Responsibilities
  • Act as a primary point of contact for existing clients, delivering an exceptional standard of service.
  • Manage client communications, responding promptly and professionally to enquiries.
  • Experience in SSAPS is ideal and therefore a distinct advantage.
  • Coordinate client review meetings, prepare meeting documentation and ensure all follow‑up actions are completed in collaboration with financial advisors.
  • Build trusted, long‑term relationships with clients through proactive engagement and excellent service.
  • Ensure client records are maintained accurately and in accordance with regulatory requirements.
  • Identify opportunities to enhance the overall client experience and improve internal service processes.
  • Assist financial advisors, where required, with the preparation of suitability reports and financial planning documentation.
  • Prepare documentation for new business, policy alterations and ongoing servicing.
  • Liaise with life companies, product providers and investment platforms to progress client cases efficiently.
  • Ensure all documentation is accurate, compliant and completed within agreed service standards.
  • Monitor workflows to ensure client work is progressed efficiently from initial instruction through to completion.
  • Maintain high standards of organisation across all client files and internal systems.
  • Assist in developing and improving internal processes to enhance operational efficiency.
  • Support compliance requirements by ensuring accurate record keeping and adherence to regulatory procedures.
  • Work collaboratively with colleagues to ensure the client services function, for which you will be responsible, runs smoothly.
The ideal candidate
  • A minimum of 3 years' experience working within a financial planning and wealth management firm in an administrative, client service or advisory support capacity.
  • A minimum of APA accreditation in Investments, Pensions and Life Assurance, though having your full QFA is advantageous.
  • An exceptional understanding of financial planning processes, investment and protection products.
  • Excellent organisational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Super attention to detail and a commitment to producing work of the highest standard.
  • Outstanding interpersonal and communication skills, with a genuine passion for building and maintaining long‑term client relationships.
  • A proactive, solutions‑focused approach and the ability to work both independently and collaboratively.
  • Strong IT skills, including experience using Financial Planning CRM systems and the Microsoft Office suite.
