Job summary

The Rehab Group in Dublin is seeking an Administrative Assistant to join our Education Support Services team. This permanent, part-time role (21 hours per week) offers an opportunity to provide high quality administrative support across diaries, meetings, reports, and data handling.

You will work closely with Operational teams, HR, Property, Finance and Business Development, contribute to costings, maintain records, and prepare agendas, minutes and service reports.

Qualifications

  • Two years’ experience in a comparable administrative role with ability to meet deadlines
  • ECDL or an equivalent IT award is desirable
  • Experience working with young people with additional support needs including intellectual disabilities, ASD, physical and sensory needs and/or mental health difficulties is desirable
  • Excellent IT skills and ability to collate and analyse data
  • Proficient in MS Office, Teams, Word, Excel, Databases and Outlook applications

Responsibilities

  • Provide general high-level administration support including diary management, meeting preparation, travel arrangements and general admin tasks
  • Assist in preparing and compiling reports and service arrangements documentation
  • Communicate with stakeholders (Operations, HR, Property, Finance, Business Development) regarding administrative queries and statistical information
  • Schedule Service Arrangement meetings and provide administrative support across the organisation
  • Maintain Education Support Services (ESS) administrative systems including scanning, filing and document organisation
  • Assist ESS meetings with drafting agendas, minutes and reports

Administrative Assistant

Permanent / Part time- 21 hours per week

Job Purpose

The purpose of this role is to provide high quality administrative support. This role is an exciting opportunity for a self‑motivated individual to join the Administration team providing high quality, administrative support. You’ll enjoy taking personal responsibility for your own workload, continually reorganizing and prioritizing to ensure those you support get the best service possible which in turn reflects positively for our wider company goal of supporting and advocating for people with disabilities.

What we're looking for:

  • Previous experience working as an administrator desirable
  • ECDL or similar IT Award
  • Minimum two years’ experience in a comparable role with a proven ability to deliver in a time sensitive and deadline orientated environment.
  • Experience of working with young people with additional support needs including intellectual disabilities, ASD, physical and sensory needs and/or mental health difficulties
  • Knowledge of administering in a busy office and analysing data
  • Excellent IT Skills and able to collate and analyse data.
  • Proficient in relevant software applications including MS Office, Teams, Word, Excel, Databases and Outlook applications

Your Responsibilities

  • Provide general and high‑level administration support to include tasks such as diary management, preparation for meetings, organising travel and meetings in addition to general administration tasks.
  • Support in preparing and compiling reports, Service Arrangement documentation and other documentation and assisting with general administrative tasks.
  • Communicate with stakeholders (Operational teams, HR, Property, Finance, Business Development) in relation to administrative queries relevant to the work of Education Support Services (ESS) including the preparation of statistical information and reports.
  • Scheduling of Service Arrangement meetings and other support activities with stakeholders across the organization and providing administrate support for same.
  • Provide support to Education Support Services (ESS) in maintaining systems, problem solving around system issues and proactively seeking to avoid them. Engaging with local Managers and Regional Managers in the preparation of business cases. Gathering of requirements and preparation of costings.
  • Contribute to the development and maintenance of the Education Support Services (ESS) administrative systems including scanning, filing and organisation of Documentation systems.
  • Assisting with Education Support Services (ESS) related meetings including drafting of Agendas, Minutes and Reports as required.

Closing Date: 06/09/26

Salary starting from point 2 €30.827.84 to point 5 €34.848.63 (pro rata), depending on experience and qualifications.
