Job description

Trucking Coordinator is responsible for planning, coordinating, and monitoring daily trucking operations to ensure the timely, safe, and cost-effective movement of containers and cargo. The role serves as the key point of coordination between customers, drivers, trucking vendors, depots, terminals, and internal stakeholders, ensuring transportation activities are executed efficiently and in accordance with operational requirements, company standards, and customer expectations. The Trucking Coordinator proactively manages transport schedules, resolves operational issues, optimizes resource utilization, and supports service excellence through effective communication and operational control.

Key Responsibilities

• Coordinate daily trucking activities, including container pick-up, delivery, and movement schedules.
• Assign transportation jobs to drivers and monitor execution to ensure timely completion.
• Communicate with customers regarding delivery schedules, operational updates, and service issues.
• Coordinate with depots, terminals, warehouses, shipping lines, and other operational stakeholders to ensure smooth transport operations.
• Monitor truck utilization and optimize scheduling to maximize operational efficiency.
• Ensure all transport instructions, job orders, and operational documents are accurately prepared and updated.
• Track container movements and promptly address operational delays, incidents, or exceptions.
• Maintain accurate operational records and update transportation systems as required.
• Coordinate with vendors and subcontractors to ensure service requirements are fulfilled.
• Ensure compliance with company policies, customer requirements, safety regulations, and transport procedures.
• Support investigation and resolution of transportation-related issues and customer complaints.
• Prepare operational reports, transportation performance data, and status updates for management.
• Collaborate with internal departments including Customer Service, Depot Operations, Finance, and HSE to support business objectives.
• Identify opportunities to improve operational efficiency, cost control, and service quality.
• Prepare and recap all costs incurred for each trucking movement.
• Liaise with the Finance team to facilitate accurate and timely invoicing to customers based on the approved trucking movement costs.
