Amman Mineral International (AMMAN) seeks a Lead Document Controller for the Elang Project in Indonesia. You will lead the document control function, ensuring the integrity, availability, traceability and security of project records throughout the lifecycle.
Responsibilities include rolling out and administering Aconex for all stakeholders, developing and enforcing document management standards, and delivering dashboards and KPI reports to monitor status, overdue actions, and readiness while
Lead and govern the document control function across the Elang Project, ensuring the integrity, availability, traceability, and security of all project and engineering records throughout the project lifecycle.
Oversee the rollout, configuration, administration, and training of Aconex for all internal and external project stakeholders.
Develop, implement, and continuously improve document management systems, standards, procedures, numbering conventions, and workflows to support project delivery and compliance requirements.
Act as the custodian and system administrator of Aconex ensuring system performance, user access control, data quality, and effective information management.
Implement workflow automation, metadata management, and digital process improvements to reduce manual effort and improve document turnaround times.
Control and track submitted documents from designers, OEMs, suppliers, vendors, contractors, and business partners to ensure compliance with project requirements, contractual obligations, and quality standards.
Develop and maintain document control dashboards, KPI reporting, and management metrics relating to document status, overdue actions, review cycle performance, and project readiness.
Ensure compliance with project document governance requirements, company procedures, contractual obligations, and applicable quality management standards, maintaining audit readiness at all times.
Provide leadership, mentoring, and technical guidance to document control personnel and project stakeholders to promote consistent document management practices.
Support engineering, procurement, construction, commissioning, and handover activities by ensuring timely availability and control of accurate project documentation.
Requirements:
Minimum 8-10 years' experience in document control within major mining or infrastructure projects.
Demonstrated client-side and/or EPCM document control experience on large multidisciplinary projects.
Experience administering and governing document management systems across engineering, procurement, construction, commissioning, and handover phases.
Experience managing contractor, vendor, and supplier document deliverables, review workflows, and technical records.
Experience leading document control teams and coordinating multiple stakeholders across large project environments.
Advanced proficiency in Aconex administration, configuration, workflow management, reporting, and user support (incl. interfacing with Oracle).
Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, SharePoint, and Teams.
Advanced English communication skills, both written and verbal.
Ability to prepare reports, procedures, correspondence, and training materials in English.
