Job summary

OCBC NISP is seeking a Facilities/Operations Manager to oversee office assets, budgets, and vendor relationships from our BSD office. You will ensure permits, licenses, and compliance are up to date, while coordinating with finance and operations teams on procurement and maintenance activities.

The role requires 3–5 years in facilities/building management and an engineering degree, with responsibilities including asset maintenance, vendor oversight, and regulatory compliance.

• 3–5 years of work experience in facilities management and building management.

Responsibilities

• Monitor and process all company permits and licenses to ensure timely renewal and compliance.
• Verify payment submissions for accuracy and proper documentation.
• Manage meeting-room scheduling, company carpooling/vehicle and inventory assets, and outsourcing arrangements.
• Procure goods, services, and logistics to support operations in compliance with policies and regulations.
• Perform regular inspections and maintenance of office assets and building facilities.
• Handle vendor/cooperation agreement administrative activities and monitor vendor performance.
• Execute business and operational management activities per regulations and procedures.
• Monitor the performance and deliverables of third-party contractors.

You'll be the person who keeps the company running smoothly behind the scenes - from securing permits to managing budgets and vendor relationships. Your work directly affects day-to-day operations.

How You Succeed:

Manage and maintain physical office assets; coordinate with Business, Operations, and Finance teams on budgeting for procurement, maintenance, and related expenses.

What You Do:

• Monitor and process all company permits and licenses to ensure they are obtained and renewed on time. This includes, but is not limited to: Advertising/Signage Permits, Business Domicile Certificates, Business Registration Certificates (TDP), Building/Operational Permits (HO), Land and Building Tax (PBB) filings, vehicle tax registrations, and any other relevant corporate documents or permits.
• Verify all payment submissions to ensure the accuracy of calculations, amounts, and supporting documentation.
• Manage meeting-room scheduling, company carpooling/vehicle and inventory assets, and outsourcing arrangements.
• Conduct purchasing and procurement of goods, services, and logistics to support company operations and performance, in compliance with all applicable policies and regulations.
• Perform regular inspections and maintenance of office assets and building facilities to ensure they remain in good working condition.
• Handle all administrative activities related to vendor/cooperation agreements, including periodic performance monitoring of vendors.
• Execute business and operational management activities in accordance with applicable regulations and company procedures.
• Monitor the performance and deliverables of third-party contractors.

Who You Are:

• Bachelor's degree from engineering major
• Experience managing vendor agreements and monitoring vendor performance
• Minimum 3-5 years of work experience Facilities Management and Building Management
