Job summary

FUNDA is seeking an Operations Specialist to manage contracts, orders, and customer relationships while coordinating sales data and cross-functional activities. The role supports invoicing, delivery coordination, and post-sale services, leveraging Excel to track performance and provide data-driven insights.

A strong communicator with a Bachelor’s degree is preferred. The position focuses on improving processes across sales, finance, logistics, and customer success, ensuring timely fulfillment

Qualifications

Our expert interview platform is live, producing 100+ analyst-led calls per month; our global institutional sales team is scaling rapidly across the US / UK / SG. We are hiring a solid Operations Specialist to run expert-network operations, sales operations, internal processes, and finance coordination — all in one role.

Key Responsibilities

1. Contract and Order Management

• Draft, review, coordinate approval and stamping, and maintain records of sales contracts and agreements.
• Track order entry, processing, shipment, and delivery schedules to ensure order accuracy and timely fulfillment.

2. Customer Relationship Management

• Assist with responding to customer inquiries and maintaining day-to-day customer relationships.
• Collect and organize customer information, establish and maintain customer databases, and conduct regular customer follow-ups to keep information up to date.

3. Sales Data and Reporting

• Prepare regular weekly, monthly, and annual sales reports.
• Analyze sales data, including sales target achievement rates and payment collection status, to provide data-driven support for sales decision-making.
• Coordinate cross-functional activities, including liaising with the Finance Department on invoicing and payment reconciliation, and working with Logistics and Operations teams to coordinate shipments and after-sales services.
• Assist in organizing and preparing for tenders, trade shows, and customer meetings.
• Collect and analyze information on competitors, market trends, and industry pricing to help the sales team evaluate market opportunities.

Qualifications and Requirements

1. Educational Background

• Bachelor's degree or above. A major in Marketing, Business Administration, International Trade, or a related field is preferred.

2. Professional Skills

• Proficient in Microsoft Office applications, particularly Excel (including PivotTables and VLOOKUP functions) and PowerPoint presentation preparation.
• Good understanding of business etiquette and strong communication skills.
