XChangeLab is a licensed Money Service Operator in Hong Kong providing cross-border payments, foreign exchange and financial infrastructure services to corporate clients and financial institutions.

We are looking for a highly structured, hands‑on and detail‑oriented Operations Manager to take overall responsibility for the day‑to‑day operations and organisational readiness of our Hong Kong entity. This is the most senior local operational role and covers payment operations, accounting coordination, systems readiness, people, administration, internal controls and business continuity.

Key Responsibilities

1. Take overall responsibility for the daily operations of the Hong Kong business.
2. Oversee incoming and outgoing payments, FX transactions, settlements, payment investigations and reconciliations.
3. Ensure that all transactions are processed accurately, on time and in accordance with internal controls and agreed service levels.
4. Maintain full visibility over payment statuses, exceptions and unresolved operational issues, and ensure timely escalation and closure.
5. Coordinate operational accounting, bank and provider reconciliations, invoices, expenses and month‑end information.
6. Ensure that payment platforms, banking portals, internal systems, access rights and approval arrangements are operationally ready.
7. Lead and organise the local operations team, allocate responsibilities, monitor performance and establish effective backup coverage.
8. Create and maintain SOPs, checklists, control logs, incident registers and escalation procedures.
9. Build operational processes for new products, banks, payment providers and payment channels.
10. Work closely with the MLRO on transaction monitoring, AML/CFT controls, regulatory requirements and operational risk.
11. Oversee office administration, vendors, contracts, subscriptions and key corporate deadlines.
12. Maintain and test business continuity and incident‑response arrangements.
13. Provide regular operational and risk reporting to the Founder and Global COO.
14. Investigate issues to root cause and ensure that corrective actions are fully completed and documented.

Candidate Requirements

1. At least five years of experience in operations within a payment company, MSO, MSB, PSP, bank, fintech or other regulated financial institution.
2. Practical experience with cross‑border payments, settlement, reconciliation and payment investigations.
3. Experience managing an operational team or taking ownership of an operational function.
4. Ability to create structured processes, procedures and internal controls.
5. Understanding of operational accounting, reconciliations and management reporting.
6. Experience working with compliance, AML or risk teams.
7. Strong written and spoken English, with good Excel or Google Sheets skills.
8. Hong Kong work authorisation is preferred.

Significant advantage: experience with a Hong Kong MSO or familiarity with Hong Kong Customs and Excise Department requirements.
