Job summary

West Kowloon Cultural District Authority is seeking a Warehouse & Logistics Coordinator for its museum retail and online operations in Hong Kong. The role involves overseeing warehouse activity, inventory control, and international shipping coordination to ensure on-time delivery.

The successful candidate should have a university degree in SCM or related field and 2–3 years of logistics experience, with ERP and TradeLink knowledge, and strong English/Chinese communication.

Qualifications

• University degree in Supply Chain Management, Business Administration or related field.
• 2–3 years of logistics and shipping operations experience, preferably in retail or FMCG.
• Familiar with ERP and TradeLink declarations.
• Able to work independently with ownership and strong multitasking.
• Proficient in English and Chinese.

Responsibilities

• Support supervisor to ensure smooth running of warehouse and logistics operations.
• Coordinate daily warehouse operations including inbound, outbound, stock replenishment, and order delivery.
• Support overall warehouse operations, logistics coordination and quality control.
• Monitor inventory levels to ensure adequate stock for sales.
• Create orders in the system (Sales Order, Transfer, Replenishment).
• Coordinate international deliveries with freight forwarders, suppliers, and customers.
• Prepare full set of shipping documents for inbound/outbound shipments and TradeLink declarations.
• Prepare monthly KPI, inventory, and management reports.
• Support month-end closing and year-end stock take with Finance and 3PL.
• Liaise with IT for system issues.
• Coordinate with external/internal parties as needed.
• Perform other ad hoc tasks as assigned.

Job description

This is a fixed-term contract position of 2-year with possibility for renewal subject to organisational needs and individual performance.

You Will Be Responsible For

• supporting supervisor to ensure smooth running of all warehouse and logistic operations within Museum Retail and online team;
• working closely with warehouse supervisor to monitor daily operations of warehouse (inbound, outbound, stock replenishment, customer's order delivery, storage, etc.);
• supporting the overall warehouse operations, logistics coordination and quality control;
• monitoring inventory level to ensure optimum inventory to support sale operation;
• performing order creation in system (e.g. Sale Order, Transfer, Replenishment, etc.);
• coordinating the international delivery arrangement with freight forwarders, suppliers, and customers to ensure on-time delivery;
• preparing full set of shipping documents for inbound and outbound shipment and preparing Tradelink custom declaration for import and export shipment;
• preparing monthly report on KPIs, inventory, analysis report to management;
• supporting month-end closing and year-end stock take process and liaising closely with Finance team, suppliers, 3PL and other relevant parties if necessary to complete the process;
• liaising with IT team for relevant system issues;
• coordinating with external parties, internal parties, stakeholders, clients and prospects when necessary; and
• performing any other ad hoc tasks as assigned by the Authority.

You Should

• possess a recognised university graduate in Supply Chain Management, Business Administration and any other relevant discipline;
• have 2-3 years of working experience in logistics and shipping operations, preferably in retail or FMCG industry;
• possess good knowledge of inventory management system, like ERP and familiar in tradelink declaration;
• be a fast learner with good working attitude and be able to work cooperatively with others;
• be creative and enthusiastic about innovation and not scared to roll their sleeves up when things get hectic;
• able to work independently with a strong sense of ownership and demonstrate strong project management skills with excellent attention to detail;
• strong sense in work prioritizing and multi tasking under pressure;
• be highly organised, reliable, and resourceful with strong problem-solving and analytical skills;
• be computer literate with knowledge in Word, Excel, PowerPoint and Outlook; and
• be proficient in spoken and written English and Chinese.
