FountainCap Research & Investment (Hong Kong) Co., Limited is seeking an organized Administrative Officer to manage daily office operations, provide executive and team secretarial support, and coordinate cross‑department workflows.

The role covers office facilities, IT administration, HR onboarding, travel logistics, event planning, and governance tasks. Fluency in Mandarin and Cantonese with strong English, 5‑day week, comprehensive medical insurance, and discretionary bonus are offered.

Qualifications

  • Bachelor’s degree holder or above with 5 years or above relevant office administration and team secretarial experience.
  • Fluent Mandarin (native/near-native) and Cantonese; proficient written Chinese and working English.
  • Mainland background strongly preferred for regional coordination.

Responsibilities

  • Office Operations: manage daily administration and coordinate office workflows.
  • Facilities Management & Procurement: oversee supplies, vendor coordination, and brief renovations.
  • IT & Digital Admin: domain accounts, vendor payments, CMS, and social media updates.
  • Executive & Secretarial Support: calendar management, meetings, travel logistics.
  • HR & Onboarding: employee records, onboarding paperwork, internship recruitment.
  • Event Planning: staff welfare, team-building, annual dinners and company trips.
  • Governance & General Support: meeting docs, confidentiality, ad-hoc projects.

Job description

We are seeking an organized, proactive, and detail-oriented Administrative Officer to manage daily office operations, provide executive and team secretarial support, and handle cross-departmental coordination.

Office Operations & Facilities Management

Day-to-Day Administration: Manage general workplace upkeep, coordinate postal and courier deliveries, handle correspondence, and respond to incoming calls or client inquiries with high professionalism.

Procurement & Inventory: Oversee vendors and inventory for office supplies; place routine orders for pantry, beverage, and general stationery supplies.

Facility Maintenance: Assist with vendor coordination, routine maintenance of office equipment, office renovation, and relocation planning.

Process Improvement: Collaborate with team members to enhance administrative workflows and identify operational efficiencies.

Digital Platforms & IT Administration

System Administration: Maintain company domain accounts and handle vendor payments/renewals for internal software and platforms.

Digital & Social Media: Manage corporate social media profiles, oversee key account renewals, update the company website Content Management System (CMS), and coordinate with service providers for website maintenance.

Dedicated Departmental Support (Research & Business Development)

Executive & Secretarial Support: Provide secretarial support including calendar management, appointment and meeting scheduling, conference call setups, and managing call log sheets.

Travel Logistics: Coordinate comprehensive travel arrangements (flights, hotel accommodations, ground transportation, visa applications) and assist on expense reimbursement applications.

Investor Trips: Serve as the primary point of contact for organizing and executing regional investor trips and related logistics.

HR Support, Recruitment & Onboarding

Employee Records & HR Admin: Support the HR department with maintaining employee records, leave management, and other administrative HR duties.

Onboarding & Recruitment: Facilitate onboarding paperwork and document preparation for new hires; coordinate interview schedules for internship recruitment alongside team coordinators.

Event Planning & Staff Welfare

Company Events: Plan and execute staff welfare initiatives, team-building activities, annual company dinners, and company events.

Company trips: Coordinate travel, logistics, and planning for company trips.

Governance & General Support

Meeting Documentation: Prepare and distribute meeting agendas, minutes, memos, and reports as required.

Confidentiality: Handle sensitive company and personnel information with strict discretion and professionalism.

Ad-Hoc Duties: Willingness to travel and execute additional ad-hoc projects or tasks as assigned.

Requirements:

Bachelor’s Degree holder or above with 5 years or above relevant office administration and team secretarial experience.

Fluent Mandarin (native/near-native) and Cantonese; proficient written Chinese and working English. Mainland background strongly preferred for regional coordination.

Proficient in MS Office (Excel, Word, PowerPoint), bilingual typing, and basic knowledge for corporate social media and website CMS.

Proactive, highly organized, strong team player, and detail-oriented.

Willing to travel.

Reporting Line:

Direct report to the Office Manager
