About the Role

Level: 3 Department: Security and Property Location: Southampton, United Kingdom Contract Type: Permanent Regulated/Non-Regulated: Non-Regulated

The Workplace Project Manager will be responsible for overseeing and driving all project activity within the Security & Property function, ensuring delivery is safe, effective and aligned with business priorities, agreed budgets, timescales and governance requirements. The role will lead and coordinate delivery across internal teams and external partners, actively managing relationships with appointed consultants and specialist providers and ensuring their work meets business requirements. Working closely with stakeholders, the role will bring direction and consistency to project activity, manage risks and dependencies, and ensure decisions and actions progress through to successful delivery.

Key Responsibilities
  • Project Delivery & Management – Lead end-to-end delivery of projects managed directly within the function, including workspace improvements, facilities management changes, refurbishments, compliance activity and business-led property initiatives. Develop and manage project plans covering scope, timelines, dependencies and deliverables. Ensure project delivery follows agreed governance, approval processes and controls. Coordinate resources and prioritise project delivery across competing demands. Track performance against agreed plans and proactively manage variances.
  • External Project Delivery & Oversight – Represent Quilter on projects delivered through external consultants and delivery partners where specialist expertise or additional capacity is required, including major refurbishments, relocations and complex property initiatives. Retain overall oversight of delivery, directing appointed consultants and delivery partners, actively managing those relationships and ensuring projects meet agreed scope, budgets, timescales and business priorities. Coordinate internal stakeholders to define business requirements, secure timely decisions and approvals, and provide the governance inputs and reporting needed to support delivery. Provide assurance on progress, risks and dependencies into relevant programme and governance forums.
  • Reporting, MI & Governance – Produce high-quality MI including RAG status, milestones, financials, risks and issues. Maintain central project tracking tools and dashboards. Contribute to governance forums and leadership reporting. Ensure delivery aligns to governance standards, supporting transparency and auditability.
  • Budget Management & Financial Control – Manage project budgets (forecasting, tracking, variance analysis). Monitors spend vs approvals, escalating risks early. Drive cost efficiency and value-for-money outcomes.
  • Risk & Issue Management – Identify and manage delivery risks and issues. Maintain clear logs and track mitigation actions. Escalate material risks and issues through relevant governance and support. Ensure alignment to relevant frameworks and control requirements.
  • Stakeholder Management & Communication – Build strong cross-functional relationships (Property, Ops, IT, Finance, Procurement, suppliers). Develop and deliver clear communication plans. Provide concise, tailored updates to all audiences. Facilitate meetings and decision-making sessions to ensure alignment.
  • Continuous Improvement & Standards – Drive consistent delivery through tools, templates and best practice. Identify and implement efficiency improvements. Contribute to governance frameworks and reporting standards. Promote a culture of accountability, resilience and continuous improvement.
About You

You will be an organised, proactive and confident project professional who brings structure, pace and clarity to project activity across the Security & Property function. You will be comfortable leading projects directly and representing Quilter on those delivered through external consultants and delivery partners, retaining overall oversight, directing their work and actively managing those relationships to ensure delivery meets business requirements. You will be able to translate business needs into clear project plans, manage dependencies, track budgets and risks, and keep stakeholders informed through concise, accurate reporting. You will hold a recognised project management qualification, such as PRINCE2, an APM qualification or PMP, and bring strong experience of delivering projects across different business environments. Your ability to apply sound project management principles and adapt your approach to each project will be more important than sector-specific experience, although a background in property, facilities management, workplace or refurbishment would be advantageous. Just as important will be your ability to build strong relationships, challenge constructively, manage detail without losing sight of the wider objective, and ensure projects are delivered to a high standard in a working environment.

Key Requirements
  • A recognised project management qualification is essential (e.g. PRINCE2, an APM qualification or PMP), with knowledge of methodologies and delivery approaches including waterfall, Agile, and hybrid, and the ability to apply the approach best suited to each project.
  • Strong project management experience is essential, with the ability to apply sound delivery principles and adapt to different project and business environments. These capabilities are more important than sector-specific experience, although a background in property, facilities management, workplace, refurbishment or operations would be advantageous.
  • Proven ability to manage multiple concurrent projects with competing priorities.
  • Sound understanding of financial management, including budgets and forecasting.
  • Experience operating within structured governance frameworks, including reporting and MI production.
  • Excellent stakeholder management and communication skills, with the ability to influence and engage at all levels.
  • Demonstrated ability to identify, assess, and proactively manage risks within a regulated environment.
