Job description

Join Potters Bar as a Workforce Lead and play a key role in delivering efficient, confidential and compliant workforce and training administration.

Supporting managers and the Hospital Director, you will ensure accurate HR data, coordinate core people processes and provide clear workforce oversight, helping to maintain consistent and effective HR practices across the service.

In this busy and varied role, you will manage and maintain HR systems, employee records and recruitment trackers, ensuring all data is accurate, up to date and handled with the highest level of confidentiality. You will coordinate a range of HR processes including recruitment, onboarding, induction, probation, contractual changes, leavers and absence management, ensuring alignment with Elysium policies and standards.

A key part of the role involves maintaining statutory compliance, including Right to Work checks, DBS renewals, professional registration verifications (NMC, HCPC), and supporting the administration of Skilled Worker Visa processes.

Working closely with the wider team, you will prepare workforce reports to provide clear insights into recruitment activity, compliance status and workforce trends, supporting informed decision-making. You will also support governance and HR processes by attending and minuting confidential meetings, ensuring all documentation is accurate and securely maintained.

This is a full time position of 37.5 hours a week. Monday-Friday. 9am-5pm.

As a Workforce Administrator you will be:
  • Assurance of accurate workforce data — ensuring HR systems, records and compliance information remain complete, current and audit‑ready to support safe staffing and organisational governance.
  • Delivery of consistent HR process outcomes — ensuring recruitment, onboarding, induction, probation, contractual changes and leaver processes are completed correctly, on time and in line with policy.
  • Statutory and regulatory compliance assurance — ensuring Right to Work, DBS, professional registrations and sponsorship documentation meet legal requirements, with risks identified and escalated promptly.
  • Provision of reliable HR administrative support — ensuring managers and the Hospital Director receive accurate documentation, trackers and governance support to enable consistent policy application.
  • Workforce reporting for operational assurance — ensuring SMT and the Hospital Director have clear, timely and accurate workforce information to support planning and decision‑making.
  • Governance and procedural integrity — ensuring formal HR processes are documented accurately, securely and in accordance with procedural requirements.
To be successful in this role, you will have:
  • HR administration competence — Ability to deliver accurate, confidential and well‑organized HR and workforce administration, including maintaining employee records, trackers and compliance logs.
  • Understanding of statutory workforce requirements — Working knowledge of Right to Work checks, DBS processes, professional registration verification (NMC/HCPC) and the administrative elements of Skilled Worker Visa sponsorship.
  • Minute‑taking and governance documentation — Ability to produce accurate, concise and secure minutes for formal HR meetings (disciplinary, grievance, investigations, absence reviews)
  • HR or workforce administration — experience equivalent to at least two years providing HR or workforce administrative support, maintaining employee records, trackers and compliance documentation.
  • Coordinating recruitment processes — supporting advertising, applicant management, onboarding and induction administration.
  • Managing statutory workforce checks — completing or coordinating Right to Work checks, DBS processes, professional registration verification and/or sponsorship administration.
  • Experience producing accurate documentation — preparing letters, forms, reports and HR documentation with high levels of accuracy and attention to detail.
  • Minute‑taking in formal meetings — producing accurate, concise and secure minutes for confidential or governance‑related meetings.
