Job description

SALARY:

NJC GRADE 5, points 7-8 - £25,584 - £25,992 (£8,340 - £8,473 pro rata)

HOURS:

Term Time Only 2 days per week

8.30 am – 4.00 pm Monday and Friday (14 hours with 30 minutes unpaid lunch break.)

Reports to:Office Manager, ultimately to Head of School

This appointment is based in the Student Services office. The appointee’s duties will primarily be first aid, student welfare and student reception.

Main Duties Include:

Reception Duties

  • Reception duties in Student Services.
  • Signing students in and out of school.
  • Registering students on the students’ SIMS database who are late or signing in or out of school.
  • Issuing detention or late slips as appropriate.
  • Taking telephone calls and passing on messages as appropriate, following school procedures.
  • Assisting students, staff, parents and carers with general enquiries.
  • Ensuring that the Student Services office is kept tidy.
  • Taking delivery of parcels and notifying facilities for onward delivery.

First Aid Duties

  • Administering first aid to students and staff as required.
  • Maintaining a first aid log.
  • Completing accident reports as required.
  • Liaising with parents on any medical issues.
  • Ensuring medical notes are up to date on the SIMS student database.
  • Preparing Individual Health Care Plans where appropriate in conjunction with parents and carers.
  • Ensuring that an adequate stock of first aid consumables is available at all times and order as required.
  • Keep first aid kits stocked and ready and issue as necessary to those going on trips/fixtures.
  • Provide lists of students with IHCPs for trips/fixtures.
  • Ensuring that all students’ medication in school is kept securely in a clearly labelled box and that medication is up to date.
  • Keeping an individual administration log for those students who regularly takemedication in school.
  • Contact feeder schools annually to ascertain medical requirements for incoming students attending their new “Intake Day”.
  • Assist with the review of the Medical Conditions in School policy as required.
  • Ensure that the Medical Room is kept tidy and fit for purpose and that it is kept locked when not in use.

General Duties

  • Report any safeguarding issues to the appropriate safeguarding officer.
  • Assisting with the maintenance of student records both electronically and manually.
  • General clerical assistance in Student Services including typing, photocopying, emailing, document preparation, etc.
  • Retrieving information from the SIMS student database for students and teachers, e.g. timetables, class lists and other reports.
  • Assisting with the organisation and return of lost property to students.
  • Signing for the checking deliveries and ensuring that the Facilities Team distributes them.
  • Any other duties required to assist with the smooth running of the Main Admin Office, Student Services and the school.

Qualification criteria

Educated to GCSE Standard (A*-C)

Skills, Knowledge and Experience

  • Experience of working in a school (desirable)
  • Experience of and confidence in working with young people (desirable)
  • Ability to communicate with staff and parents/carers both verbally and in writing
  • Excellent phone and written manner
  • A firm but friendly approach
  • First Aid at Work qualified (training will be provided if necessary)
  • Managing Medicines in School knowledge (training will be provided if necessary)
  • Ability to act decisively and confidently under pressure
  • Good organisational skills and ability to prioritise work
  • Experience of using a database (desirable)
  • A working knowledge of Microsoft Office, specifically Outlook, Word and Excel

Flexibility:

To deliver services effectively, a degree of flexibility is needed and the post holder may be required to perform work not specifically referred to above.
