Job Summary
To assist the Ward Manager and nursing team members with general ward administration and clerical duties to ensure the smooth running of the ward/department. Act as a receptionist for visitors coming onto the ward.
Main Responsibilities
- Serve as the first point of contact for patients, their friends, and families, ensuring messages are passed on appropriately and promptly.
- Register patient details on Cerner with high data accuracy.
- Admit and discharge patients on Cerner and EPRS systems.
- Handle written and telephone enquiries for the ward.
- Book follow-up appointments as required.
- Participate in administrative duties such as managing the answer phone, cancellation emails, post, date stamping, photocopying, and scanning. Ensure referral letters are sent or delivered to the appropriate departments.
- Arrange hospital transport for patients according to the hospital Transport Policy and liaise with the Transport team for enquiries.
- Manage potentially aggressive or verbally abusive visitors following established procedures and protocols.
- Provide cover for colleagues during leave, sickness, or busy periods, which may involve working at different sites or wards.
- Develop working relationships across the trust with consultants, medical secretaries, and management teams.
- Update whiteboards as required.
- Assist nursing staff in ensuring the correct wristbands are available in EPRS.
- Ensure the Family and Friends Test is completed upon patient discharge.
- Collect or deliver TTAs to Pharmacy when the pharmacist is unavailable to come to the ward.
