Job summary

BCD Meetings & Events (BCD M&E) in London is seeking a Venue Sourcing Project Manager to guide clients through every step of their event journey. You will build trust, source venues, negotiate rates, and coordinate with suppliers to deliver memorable experiences.

This hybrid role requires three days in the London office, strong communication, and knowledge of venues and booking systems. You will manage proposals, contracts, and client communications while expanding relationships across our

• Strong knowledge of industry venues and supplier connections.
• Excellent communication skills with a flair for presentations.
• Proficiency in MS Office and familiarity with venue booking systems.

Responsibilities

• Schedule intake calls and understand requirements to optimise the brief.
• Identify opportunities to upsell services outside sourcing.
• Establish delivery responsibilities and timeframes for supplementary services.
• Source suitable venues and negotiate rates/terms meeting client budgets.
• Create proposals with all information for client decisions and present them to add value.
• Be primary client contact, manage supplier communications and convert opportunities.
• Manage contracting and payment processes, highlight risks and negotiate to minimise.
• Gather client feedback to continuously improve experience.
• Build relationships by attending client events and meetings.
• Take charge of key client relationships and ensure top-notch service.
• Enhance knowledge of venues/destinations through proactive engagement.
• Juggle multiple priorities and adapt to changes with a positive attitude.

As a Sourcing Project Manager, you will:

• Schedule brief intake calls. Listen well to understand requirements, have input to optimise the brief & exceed expectations.
• Identify opportunities to ‘upsell’ services outside of sourcing and help the client to understand the value of doing so to gain their buy in from the outset.
• Establish who will be required to deliver any supplementary services, ensure they understand their responsibilities and deliver within timeframes set.
• Use all available resources to source suitable venues & locations that meet requirements and negotiate rates & terms that meet client budget and guidelines.
• Create proposals that include all the information for clients to make decisions. Present them in a way that enables you to add value through consultancy & recommendations.
• Be the primary point of contact for the client, manage communications with suppliers & within BCD, use all reasonable endeavors & tenacity to convert the opportunity.
• Manage the contracting & payment process, highlight risks and negotiate effectively to minimise them.
• Gathering and acting on client feedback to continuously improve their experience.
• Building strong relationships while attending client events and meetings.
• Taking charge of key client relationships and ensuring top-notch service.
• Enhancing your knowledge of venues and destinations through proactive engagement.
• Juggling multiple priorities and adapting to changes with a positive attitude.

You should know:

• This is a hybrid role that requires 3 days a week in either the London office
• The shift patterns for venue search are 9-5:30, 8:30-5 or 9:30-6 on a rotate basis, with an hours lunch break
• You must have the right to work in the UK
