Scope of Role

We are looking for a systematic person to help with IT Controls, including organising IT Contracts, Costs and help with important ISD controls to join our team. You will be someone who can ensure the accuracy and compliance of contracts, manage costs, supporting and maintaining financial integrity, Security and regulatory compliance.

This role is based on a 6-month full-time contract. Reporting to our Global Head of IT in our London HQ, you will benefit from a hybrid work schedule.

As a Vendor Risk & Financial Management Analyst, you will:
Contract Management:
  • Organise and agree third-party vendors' security contact details for current and new contracts for IT third-party vetting process.
  • Ensure all contracts comply with company policies, legal requirements, and industry standards.
  • Review and update data to help maintain our contract database.
  • Monitor contract deadlines, renewals, and termination dates, and coordinate with relevant departments.
Cost & Administration:
  • Monitor project budgets and costs to ensure adherence to financial constraints and company policies.
  • Handle project administration related to costs, contract management, and vendor management including RFI & RFP.
  • Review and analyze cost reports, forecasts, and budgets to identify cost-saving opportunities.
  • Support the preparation of IT financial budgets and reports.
  • Reconcile discrepancies in contracted services, invoicing, and payments with IT, vendors, and finance teams.
  • Support the termination of unnecessary IT contracted services.
Compliance and Risk Management:
  • Assist in gathering requirements for IT DR/BCP services and SLA requirements.
  • Ensure compliance with relevant regulations, laws, and standards related to contracts and costs.
  • Support the creation of procurement and contract frameworks and procedures.
  • Identify potential contract risks and propose mitigation strategies.
Communication and Coordination:
  • Facilitate communication between departments (legal, finance) for smooth contract execution and cost management.
  • Provide training on contract management procedures and cost control measures.
Documentation and Reporting:
  • Maintain organized records of contracts, reports, and related documents.
  • Prepare regular reports on contract status, IT controls, financial performance, and cost variances for management.
  • Support audits and provide necessary documentation.
Requirements
  • 2+ years of experience in IT contract administration, cost management, or similar roles.
  • Experience with cost management practices.
Preferred Qualifications
  • Experience working with common IT controls.
  • Professional certification in contract management (e.g., CPCM) or related fields.
