Job summary

Activate Group Limited is seeking a Bodyshop Parts Administrator to support the Activate Accident Repair body shop in Mildenhall. You will coordinate daily parts flow, manage stock, and ensure accurate documentation and timely communication with the Workshop Controller and accounts.

The role requires excellent customer service, strong attention to detail, and the ability to work independently as part of a busy, fast-paced team.

Responsibilities

• Coordinate daily parts flow for internal and stock deliveries.
• Update and maintain the parts ordering system.
• Verify deliveries against parts lists for accuracy and damage.
• Ensure documentation is completed and routed to the correct departments on time.
• Conduct monthly stock checks and reconcile with supplier invoices.
• Monitor and control resources within the parts department.
• Communicate potential delays to Workshop Controller and reception.
• Enter parts delivery data into the management system and pass paperwork to accounts.

Job title: Vehicle Parts Administrator
Department: Activate Accident Repair
Reports to: Bodyshop Manager
Hours: 45 hours

We are looking for a Bodyshop Parts Administrator to join our state-of-the-art Activate Accident Repair Mildenhall Bodyshop!

Role overview

You will be responsible for supporting the effective operation of the parts department. Excellent organisation and communication skills will help you to plan and coordinate vehicle parts to meet requirements.

Key Responsibilities

• Manage daily parts co-ordination of both internal and stock delivered.
• Update parts ordering system.
• Make sure all parts delivered to the site are checked off against the parts list for accuracy of order, correct parts, quantity, accidental damage and overall quality.
• Ensure all relevant documentation for your department is correctly filled out and delivered to the designated departments on time.
• Carry out monthly stock checks, which reconcile back to usage and suppliers' invoices.
• Monitor and control resources within the parts department.
• Work within internal procedures to achieve targets set out by your line manager.
• Communicate to the Workshop Controller and reception any potential delays to a parts order arriving on site.
• Input all parts delivery information into the Management system, and pass through all paperwork to the accounts department.

Skills and experience

• Excellent customer service and communication skills, including by telephone, email and in face-to-face situations.
• Flexibility dealing with changes in demand, tasks, and processes.
• Strong attention to detail.
• Work on own initiative, be proactive and manage customers and workload with little intervention from the management team.
• Good time management and prioritisation skills.
