Job summary

Culina Group is a leading UK logistics provider offering warehousing and distribution solutions. This role oversees the day-to-day running of operations, ensuring targets are met in a cost-effective, safe manner while maintaining compliance with post-Brexit rules and cross-border requirements.

You will manage drivers, payroll, training, and vehicle maintenance, coordinating with European teams and suppliers to ensure seamless movements during events and normal operations.

Qualifications

• Experience managing logistics operations and driver teams.
• Strong knowledge of WTD regulations and tachograph usage.
• CPC qualification and experience with driver compliance.
• Experience with cross-border movement planning and EU declarations.
• Payroll administration for drivers and rostering.

Job description

You will deliver consistent performance overseeing and being responsible for the day to day running of the operation to ensure that all daily targets are met in the most cost effective, efficient, and safe manner in line with our policies and procedures. To take responsibility for post Brexit legality and cross border requirements ensuring all personnel are complying. You will manage the day-to-day operations resource pool ensuring adherence to all Company and Legislative compliance standards, managing the organisational requirements relating to trucks, trailers & drivers and ensuring standards of maintenance of the vehicles are delivered.

• Maintaining the company database and follow up all defects with the fleet department within 48hrs of reported incident
• Completing daily risk assessments of the yard (Eventor)
• Enforcing WTD regulations amongst all drivers (as per EU regulations), addressing all non-conformance, utilising the convey system
• Supporting all elements of Tachograph compliance. Including using Tachograph analysis for reporting and follow up actions
• Recording and following through VOSA stops in accordance with COP 070
• Identifying all CPC non-compliance and action
• Co‑ordinating the management of absence and holidays for all drivers and Ops team ensuring quarterly monitoring.
• Management of driver payroll
• Co‑ordinating, recruiting and retaining of Drivers (Including uniforms and GTS / MWF set up, disciplinary, grievance and exit interview process)
• Ensuring all personnel files are up to date and stored electronically, incorporating licence validation, personal details, completed training and company policies
• Validating all weekly expense claims from drivers
• Ensuring all training needs are met for drivers (including inductions, re‑training, SSW and annual appraisals)
• Administering the vehicle and trailer maintenance programme, (including servicing, MOTs, VOR, weekly cab checks and maintaining all records)
• Ensuring all vehicles are operating during the race season at the expected standards of all contract requirements (no damage, scuffs, scrapes)
• Maintaining a high level of depot cleanliness ensuring all vehicles and trailers are parked correctly in the allocated areas
• Monitoring all aspects of accident prevention and incident reporting
• Ensure all movements are legally declared on the EU portal for movements inside the EU
• Provide legal documentation, permission to drive letters, certificates of conformity, insurance, V5, EU community licence, Truck tacho calibration, insurance green card, ECMT certificates of roadworthiness, low noise Austria, trailer registration, ECMT cert of compliance, trailer goods in transit insurance.
• Have a clear understanding of exit & entry declarations & GVMS route logs
• Book trucks into inland border facilities (when required)
• Ensure all event managers, drivers, office staff are made aware of legal updates/changes in legislation via toolbox talk and email
• Assist with goods vehicle movement checks when required (any rejections etc.)
• Liaise with the team in Europe as and when needed, this could be movements between venues, planning movements of trucks, people etc
• Supervising the WTD process whilst drivers are on event on other work ensuring hours are logged correctly.
• Ensuring office cleanliness is adhered to and all staff are following the Culina House site standards including clear desk policy at the end of each working day.
• Managing resource, booking in service providers, and strategically planning back-to-back race transitions, keeping in line with sector financial parameters
• Completing all weekly and monthly operational manager reports, checks and returns as per company process
• Overseeing the planning operation managing a team of planners and vehicle movements to and from Europe
• Overseeing all fuel and Toll accounts, ordering new tags and fuel cards as and when needed, making sure invoices are paid on time (Telepass)
• Managing the As24 account
• Keeping Eurotunnel and ferry account updated with the correct registrations, this includes any customers using our accounts.
• Liaise with M-sport, monitor and manage requirements as and when needed.
• Assist in planning of B2B movements with the ops team during the F1 European season.
