Job Overview

We are seeking a highly organised and detail-oriented Patient Transport Data Lead to oversee and optimise the management of non-emergency patient transport (NEPT) services. The Data Lead will play a crucial role in ensuring operational efficiency, enhancing service delivery, and ensuring financial accountability within the patient transport system. This role involves analysing and managing data related to aborted trips, contract additions, KPIs, and the recharging of transport costs. The successful candidate will work closely with operational teams, service providers, and key stakeholders to ensure data integrity, identify trends, and provide actionable insights to improve service performance.

Main duties of the job

Collect, analyse, and report on operational data related to patient transport services, focusing on aborted trips, transport scheduling, vehicle utilization, and patient satisfaction.

Monitor and manage the performance of key performance indicators (KPIs) to ensure service targets are met and consistently exceeded.

Ensure compliance with contractual terms and conditions, including overseeing the incorporation of contract additions and modifications.

Develop and manage processes for the accurate recharging of transport costs to the appropriate departments or third parties.

Work collaboratively with internal teams, including operations, finance, and external service providers, to resolve data discrepancies and improve processes.

Identify operational inefficiencies or areas for improvement and make recommendations for process optimizations and cost reductions.

Maintain clear and accurate records, reports, and dashboards for internal and external stakeholders.

Detailed Job Description And Main Responsibilities

  • Responsible for the day to day control, monitoring, of all Patient and non patient Transport activity within designated areas in alignment to contracts and Service Level Agreements.
  • Deliver effective support to the FM Duty Manager (Transport) to deliver an efficient and cost effective service in line with local operational budgets and Service Level Agreements.
  • Contribute in the preparation and supervision of shift rotas in accordance with budget and SLA’s through discussion with the FM Duty Manager Transport and the central administration team.
  • Ensure full FM service coverage in relation to staffing numbers and quality of work and escalate any concerns to FM Duty Manager Transport.
  • Delegate and prioritise tasks to Transport Team members on a daily basis.
  • Carry out staff induction and adhoc training processes and complete within the required timescales, including completing a review meeting with the staff to confirm their successful completion.
  • Meet daily with FM Duty Manager Transport to communicate operational activities and requirements.
  • Communicate any exceptional issues to FM Duty Manager Transport in a timely manner e.g. lack of resource to carry out essential tasks.
  • Liaise with service users to review and resolve issues arriving and escalate any exceptional issues to the FM Duty Manager Transport.

  • Monitor and manage the performance of key performance indicators (KPIs) to ensure service targets are met and consistently exceeded.
  • Ensure compliance with contractual terms and conditions, including overseeing the incorporation of contract additions and modifications.
  • Develop and manage processes for the accurate recharging of transport costs to the appropriate departments or third parties.
  • Work collaboratively with internal teams, including operations, finance, and external service providers, to resolve data discrepancies and improve processes.
  • Identify operational inefficiencies or areas for improvement and make recommendations for process optimizations and cost reductions.
  • Maintain clear and accurate records, reports, and dashboards for internal and external stakeholders.
  • Generate weekly and monthly reporting suites for the management team on all data sets, for monitoring delivery against key performance indicators and to inform service improvement.
  • Escalate any continued inconsistencies in data to the Team Manager.
  • Monitor patient transport booking data quality, validating multiple data items using expert knowledge.
  • Escalate data issues to management team.
  • Audit and investigate at patient level all cancelled journeys, identifying impact on patient care.
  • Liaise regularly with the Clinical Site Team as commensurate to the role.
  • To carry out any operational tasks as required on occasion to ensure full service delivery.
  • Carry out duties in accordance with the Departmental Health & Safety Policy, the Health & Safety at Work Act and the Departmental Written Systems of Work.
  • Report any accidents/dangerous occurrences to the FM Duty Manager Transport and participate in the completion of necessary accident form paperwork.
  • To be a role model and reflect and promote the values of the Trust in all activities.
  • To carry out any other duties commensurate with the post as directed by the FM Management Team.

  • Level 3, City and Guilds or equivalent plus additional knowledge acquired through training and experience to HND level diploma or equivalent
