Job summary

Cameron Mackintosh Limited is seeking a diligent Technical Office Assistant to provide comprehensive administrative support to the Technical Department. This is an office-based role, not a technical or production position, centered on organisation and coordination.

You will work with Senior Production Managers and the Technical Director to manage correspondence, schedules, invoicing, procurement, and HR-related tasks for freelance staff while ensuring compliance with safety and show-related

Responsibilities

  • Managing the inboxes and calendars of the Senior Production Managers, and others in the department as required.
  • Assisting the Senior Production Managers and Technical Director in the creation of administrative documents for the department.
  • Booking meetings as required.
  • In conjunction with the Technical Administrative Team, supporting the recruitment process for technical production staff.
  • In conjunction with the Production Managers, assist with the administration of all show related Health & Safety, including Production Audits.
  • Arranging the Technical Office annual Health and Safety audit and supporting departmental H&S Paperwork.
  • Supporting the administration of our costume and set stores. Managing the storage schedule and arranging contractor visits.
  • Supporting the Technical Department with any administration as required.
  • Booking travel and accommodation in conjunction with the Technical Department.
  • Arranging couriers as required.
  • Minuting meetings as required.
  • Assisting with the distribution of press night tickets for technical guests as required.
  • Supporting the Senior Production Managers in administrating weekend Production Management cover for the shows.
  • Managing the Technical Invoices inbox, in conjunction with the Technical Assistant.
  • Arranging the coding and payment of departmental and storage invoices and answering invoice queries.
  • Issuing Purchase Orders as required by the Technical Department.
  • Reconciling petty cash floats.
  • Supporting the Technical Department in completing credit card returns.
  • Supporting the Senior Production Managers in the administration of the financial systems used across the department.
  • Covering for the Technical Assistant, as required, on invoice related queries and coding.
  • Conducting self-employment CEST checks for Freelancers, Programmers and Associates working across the department.
  • Administrating Right to Work checks, and other employment checks as required.
  • Keeping track of the return of Freelance Agreements.
  • Supporting the department in any employment contracts as required by the Technical Administration Team.
  • Any other reasonable duties as required.

Description
The Team

The Technical Department is responsible for the realisation and maintaining of the physical production, working with the designers to create the set, lighting, sound, video, wardrobe, and wigs. The team also engages and oversees the technical staff and freelancers working on each show, from recruitment through the run of the production.

Purpose of Job

To provide exceptional administrative support to the Technical Department. This is an office administrative position and not normally a technical or production-based role.

Person Specification

This role provides an excellent opportunity to be a part of a team that delivers a range of productions in the West End, on tour, and internationally. We are looking for someone who has brilliant organisational skills with a love and understanding of theatre.

The successful candidate may have already worked as a Technical, Production or Office Assistant, come from a similar role, or have experience working for a theatre or a theatre production company. They must possess both an enthusiasm for theatre and good administrative skills. They will have a good understanding of the areas involved in producing a show and be experienced in Microsoft packages including Word, Excel, and Outlook.


Key Responsibilities
Administration
