Job summary

Arup is seeking a highly organised Team Coordinator to support the Transport Portfolio across the North geography, including Leeds and Manchester. You will manage day-to-day coordination, prepare high-quality documents and communications, and support bid activities as needed.

You will also handle meetings, travel arrangements, inductions for new starters and event coordination, while promoting efficient ways of working and digital tool adoption across the team.

Qualifications

  • Excellent communicators with strong written and verbal skills and the ability to build relationships across large hybrid teams.
  • Strong organisational skills with ability to manage multiple priorities in a fast-paced environment.
  • Solid knowledge of Microsoft Office applications, especially PowerPoint; familiarity with SharePoint, OneDrive and Copilot.

Responsibilities

  • Provide day-to-day coordination across the Transport Portfolio teams.
  • Prepare high-quality documents, presentations, and communications; edit for clarity and consistency.
  • Coordinate team meetings, schedules and travel arrangements; maintain information and distribution lists.
  • Support induction for new starters and coordinate team/client-facing events; assist with governance and project-related activities.
  • Assist with work-winning activities (bids, pre-qualification questionnaires, expressions of interest) and maintain supporting documentation.

We are looking for a highly organised and proactive Team Coordinator to help our Transport teams operate effectively and efficiently. The Opportunity

We have an exciting opportunity for a Team Coordinator to support our Transport Portfolio across the North Geography. In this varied and rewarding role, you will play a key part in the smooth running of teams, providing day-to-day coordination and supporting the delivery of operational, governance and project-related activities that enable our technical specialists to focus on delivering excellent outcomes for clients.

You will prepare high-quality documents, presentations and communications in line with the Arup brand, proofreading and editing content to ensure clarity and consistency. You will support work-winning activities, including bids, pre-qualification questionnaires and expressions of interest, helping to coordinate information such as CVs, project sheets and supporting documentation.

The role will involve maintaining organisational information, Teams spaces and distribution lists, monitoring training compliance, supporting recurring business processes, coordinating team meetings and schedules, and assisting with travel arrangements. You will also support new starters through their induction journey, coordinate team and client-facing events, and act as a key point of coordination across the North Transport team.

Working closely with Business Operations colleagues and team leaders, you will help drive efficient ways of working, share best practice, and contribute to continuous improvement initiatives, including the adoption of digital tools and technologies.

Is this role right for you?
We are looking for people who:

  • Demonstrate strong knowledge of Microsoft Office applications, particularly PowerPoint, and ideally have experience with SharePoint, OneDrive and Copilot.
  • Are collaborative, proactive and solutions-focused, with a growth mindset and a desire to continuously improve processes and ways of working.
  • Can handle sensitive and confidential information with professionalism, discretion and attention to detail.
Desirable, but not essential:
  • Experience working within an engineering consultancy or large global organisation.
  • Knowledge of CRM systems.
  • A Level 4 NVQ or a relevant secretarial or administrative qualification.
  • Willingness to travel occasionally between our North offices.
