Job summary

Arup in the United Kingdom is seeking a Team Coordinator to support our Environment and Climate Services portfolio across the North Geography on a 12-month fixed-term contract.

The role covers day-to-day coordination and administrative support, including document prep, meetings, inductions, and bid/pqq support, with a strong emphasis on MS Office 365 and collaborative team work, and you will help organise staff and client events, training trackers and team schedules.

Qualifications

  • NVQ in administration or similar qualification is desirable
  • Excellent written and verbal communication skills
  • Experience of standard office administrative procedures
  • Strong Microsoft 365 skills including PowerPoint, SharePoint, Teams, Excel and Copilot
  • Interest in exploring new digital ways of working and improving processes
  • Collaborative approach and strong team-working skills

Responsibilities

  • Provide day-to-day coordination and administrative support across projects and operations
  • Prepare clear, high-quality documents and presentations, proofreading and editing content
  • Support bids and PQQs, and prepare CVs and project sheets
  • Coordinate inductions for new starters and organise staff/client events
  • Manage meetings, schedules and CRM-related activities
  • Promote best practices across Business Operations

The Opportunity

We have an exciting opportunity for a Team Coordinator to support our Environment and Climate Services (ECS) portfolio across the North Geography.

This is a 12-month fixed-term contract providing maternity cover.

The role provides day-to-day coordination and administrative support across project and operational activities, helping our teams run smoothly and effectively.

Prepare clear, high-quality documents and presentations in line with the Arup brand, including proofreading and editing content for consistency and clarity, improving messaging, and drafting presentation materials using Microsoft Office.

Support work-winning activities, including bids and PQQs, and prepare supporting documents such as CVs and project sheets. Support project teams. Coordinate day-to-day team requirements, including holidays, absences and wellbeing considerations as team needs change. Use CRM systems; previous knowledge would be beneficial.

Support new starters and coordinate their induction into Arup and the team, ensuring a smooth and positive experience. Organise staff social events and client events. Create and maintain training trackers. Coordinate meetings and schedules for the team and Team Leaders.

Proactively gather information, book meeting rooms, and liaise with relevant teams to arrange audiovisual requirements and refreshments. Promote and share best practice across Business Operations.

Is this role right for you?

We are looking for people with the following skills –

·An NVQ in administration or a similar secretarial or administrative qualification is desirable but not essential.

·Excellent written and verbal communication skills.

·Experience of standard office administrative procedures.

·Strong Microsoft 365 skills, particularly PowerPoint, SharePoint, Teams, Excel and Copilot.

·An interest in exploring new digital ways of working and improving processes.

·A collaborative approach and strong team-working skills.
