Job Title: Assistant to the Head of Retail Parks and Head of Logistics Team
Department: Real Estate Team

LOCATION: York House, Marble Arch

REPORTING TO: Head of Retail Parks, Matthew Reed

TYPE OF CONTRACT: FTC

The Role

Provide support to the Heads of Retail Parks and Logistics, managing busy schedules, coordinating meetings, and supporting various administrative tasks within the team.

Key Responsibilities
  • Manage diaries, meetings, and conference calls efficiently.
  • Attend team meetings, note key actions, and track progress.
  • Coordinate joint venture reporting processes.
  • Prepare presentations and documents under tight deadlines.
  • Organize internal and external events.
  • Build and maintain relationships with internal and external parties, including retailers, agents, lawyers, etc.
  • Manage deal processes, ensuring timely logging, signing, and dispatch of leases.
  • Arrange travel accommodations.
  • Handle general administrative duties including expense claims and purchase orders.
  • Communicate priorities and follow up on outstanding matters.
  • Proofread documents and manage invoices.
  • Provide cover for other PAs when necessary.
  • Maintain updated contact details in Outlook and Salesforce.
Candidate Profile
  • Experience in a similar PA role within a FTSE 250 or similar fast-paced environment.
  • Proficient in managing multiple stakeholders and diaries.
  • Flexible, proactive, and detail-oriented.
  • Excellent communication skills, both written and oral.
  • Proficient in MS Office and Adobe.
  • Ability to adapt to last-minute changes and maintain confidentiality.
  • Self-managing with the ability to prioritize tasks and manage team interactions confidently.
