Job summary

XYZ Reality Ltd. is seeking a TA / People Systems Administrator to optimise Ashby and scale its recruitment function. You will own daily Ashby administration, improve workflows, and ensure data integrity while supporting recruiters and hiring managers.

You’ll build dashboards, run reports, and automate where possible, helping the TA team operate efficiently at scale across multiple roles. This hybrid role sits in London, with a modern, collaborative culture that values proactive problem-solving.

Qualifications

• Hands-on Ashby ATS experience.
• Experience in TA Operations or Recruitment Systems.
• Ability to produce and maintain recruitment reports and dashboards.
• Strong systems mindset across workflows, data and technology.
• Excellent attention to detail and data accuracy.
• Experience coordinating recruitment across multiple roles.
• Understanding data protection for candidate data.

Responsibilities

• Own and optimise Ashby administration, including workflows and templates.
• Maintain high-quality candidate, requisition and interview data.
• Identify and resolve data issues and gaps.
• Improve Ashby usage as hiring expands.
• Provide system guidance to recruiters and hiring managers.
• Identify opportunities to automate recruitment workflows.
• Support integrations and ATS optimisation projects.
• Coordinate interviews and candidate communications.
• Ensure interview feedback and approvals are captured in Ashby.
• Support offer and pre-employment admin.
• Maintain clear recruitment processes and documentation.
• Assist onboarding transitions for new hires.
