Job Description:
This role sits in our Real Estate team, which encompasses environment, project planning, real estate finance and real estate litigation. The team advises on every stage of the property lifecycle, with expertise in construction, development, energy and infrastructure, hotel and leisure, investment, landlord and tenant matters, planning, environment and compulsory purchase, property litigation, real estate finance, and real estate tax.
Responsibilities
- Diary management, including scheduling appointments, organizing meetings, and ensuring smooth meeting operations, including refreshments as needed.
- File management, including opening and closing files, maintaining electronic filing systems, and email management to ensure urgent emails are promptly addressed.
- Proactive client liaison, including taking messages, passing on information, and handling simple queries.
- Collaborate with other secretarial support to provide professional support to fee earners and clients, including during absences.
- Manage billing and financial requirements, including producing WIP and aged debt reports.
- Handle legal documentation and correspondence to high standards.
- Oversee document production from initiation to delivery, involving Document Specialists as needed.
- Organize conference calls for fee earners.
- Prepare client registration documents, engagement letters, conflict checks, AML, and audit letters under partner/fee earner guidance.
- Maintain CRM by updating InterAction and contact lists.
- Support marketing and business development, including preparing alerts, presentations, organizing events, and managing logistics.
- Use InterAction to log BD activities and generate reports.
- Coordinate travel arrangements and produce travel packs.
- Order searches and manage their delivery using TM Group and Land Registry Portal.
- Perform additional ad hoc tasks as needed.
- Be flexible and willing to work outside office hours when required.
Experience and Knowledge
- Proven experience as a Legal Secretary/PA within a real estate department is essential.
- Excellent diary management, organization, and prioritization skills.
- Effective communication and relationship-building skills.
- Team player.
- Fast, accurate typist, with proficiency in producing high-standard legal documents.
- Professional telephone manner and message handling skills.
- Technical skills in document or case management (iManage Work), legal finance systems (Evergreen), and CRM (InterAction).
- Minimum typing speed of 65 wpm with accuracy.
