Support Administrator (Awards & Ceremonies)
Rate - GBP15.80 (per hour)
Duration - 4 months (initially)
Location - High Wycombe
IR35 - Inside (must use an umbrella company)
The post holder will be responsible for providing support in the distribution of certificates and transcripts, ensuring accurate records and efficient service delivery. They will make independent decisions related to data accuracy and process management, work collaboratively with the Awards and Ceremonies team, and effectively plan and organise tasks to meet deadlines.
Main Duties & Responsibilities:
- Certificates & Transcripts
- Provide guidance on processes and procedures related to certification and awards.
- Monitor and respond to requests for replacement certificates and transcripts, including printing and dispatch as required, and use established systems to create reports on this activity.
- Implement improvements to the certificate distribution process.
- Data Accuracy & Records Management
- Maintain accurate and up-to-date internal spreadsheets and electronic records related to certificates and transcripts.
- Ensure compliance with data protection regulations and retention policies.
- Identify and rectify errors in student data and escalate issues when necessary.
- Track stock and supplies for certification production and ensure timely ordering of replacement stock.
- Customer Service & Communication
- Respond to routine and non-routine requests from students and stakeholders regarding certificates and transcripts.
- Liaise with internal and external contacts to ensure smooth processing and dispatch.
- Provide guidance and advice to students on certification processes.
- Planning & Organisation
- Plan and prioritise own workload to meet deadlines and support the wider team.
- Assist the team in planning and scheduling certificate production timelines and deadlines.
- Contribute to the work of the Academic Registry and the delivery of key events such as graduation ceremonies.
- Collaborate with team members to improve processes and support continuous improvement.
- General Administrative Support
- Prepare and collate documentation for certificate and verification purposes.
- Assist with organising meetings and events related to awards and ceremonies.
- Participate in team meetings and support other Academic Registry activities as required.
- Comply with relevant legislative and other requirements (e.g., Data Protection Act 2018, GDPR, Health and Safety, UKVI, Equality and Diversity) in all working practices.
- Perform other duties as reasonably required, temporarily or on a continuing basis.
