Job summary

The Pilot Group in Manchester is seeking a Supply Chain Administrator to support ESL's global supply chain activities, ensuring smooth flow of materials, information and documents from suppliers through to customers. Qualifications

  • GCSE English & Maths at Grade C or above or equivalent.
  • Experience in administrative, logistics, supply chain, purchasing or customer service.
  • Strong organisational skills with high attention to detail.
  • Excellent communication skills, written and verbal.
  • Proficient in Microsoft Office, particularly Excel.
  • Ability to manage multiple priorities and work under pressure.
  • Knowledge of supply chain processes, purchasing, inventory, logistics and fulfilment.
  • Experience with ERP or SCM systems and maintaining records.

Responsibilities

  • Coordinate inbound and outbound shipments, ensuring timely delivery.
  • Prepare and manage import/export documentation per requirements.
  • Monitor shipment progress and communicate updates.
  • Maintain supply chain records within ERP and business systems.
  • Support PO administration, order confirmation tracking and supplier communications.
  • Liaise with freight forwarders, carriers, suppliers and internal stakeholders.
  • Assist with inventory reporting and stock reconciliation.
  • Support supplier and logistics KPI reporting and improvements.
  • Investigate issues and support resolution of discrepancies.
  • Support customs compliance and shipping records.
  • Coordinate urgent and same-day shipments as needed.
  • Prepare quotations and freight cost estimates; assist with invoicing.
  • Support continuous improvement and automation projects.
  • Provide admin support to the Supply Chain team and assist with ad hoc projects.

ESL is headquartered in Manchester and operates with a strong international presence. It was founded by two female entrepreneurs 19 years ago (both are still in the business), and the company has 75 amazing people with brilliant skills.

Summary:

The Supply Chain Administrator will support the efficient operation of ESL's global supply chain activities, ensuring the smooth flow of materials, products, information and documentation from suppliers through to customers. The role provides administrative support across purchasing, logistics, inventory management, reporting and customer fulfilment whilst contributing to continuous improvement initiatives.

Key Responsibilities
  • Coordinate inbound and outbound shipments, ensuring timely delivery to customers and suppliers.
  • Prepare and manage import and export documentation in accordance with company and regulatory requirements.
  • Monitor shipment progress and proactively communicate updates internally and externally.
  • Maintain accurate supply chain records within ERP and business systems.
  • Support purchase order administration, order confirmation tracking and supplier communications.
  • Liaise with freight forwarders, carriers, suppliers, warehouse teams and internal stakeholders.
  • Assist with inventory reporting and stock reconciliation activities.
  • Support preparation of supplier and logistics performance reports and KPIs.
  • Investigate supply chain issues and support resolution of delivery, quality and documentation discrepancies.
  • Support customs compliance activities and maintain shipping records.
  • Coordinate urgent and same-day shipments where required.
  • Prepare quotations and freight cost estimates where appropriate and approving invoices.
  • Support continuous improvement and automation projects across the supply chain function.
  • Provide administrative support to the Supply Chain team and assist with ad hoc projects.

  • Knowledge of transport, logistics and shipment coordination processes.
  • Excellent written and verbal communication skills with the ability to build effective relationships with suppliers, customers, logistics providers and internal stakeholders.
  • High level of accuracy when handling orders, shipping documentation and business-critical information.
