Job summary

Newcastle University is seeking two fixed-term administrative staff to support the Work Experience Team within UniTemps on campus. You will manage vacancy coordination, liaise with employers, and assist in delivering student work experience from the start of term to 31 July 2027.

You will work in a fast-paced environment, ensuring excellent service to students and recruiters, while handling payments, reporting, and events preparation.

Qualifications

  • Competent in Microsoft Office, database packages and the internet.
  • Clerical or administration experience in an office environment.
  • Experience in a customer-focused environment.
  • Excellent attention to detail with a high level of accuracy.

Responsibilities

  • Administer all aspects of vacancy coordination and recruitment, including employer liaison, advertising vacancies, marketing opportunities and deadlines.
  • Monitor the employer and student experience during work experience and resolve issues or refer as needed.
  • Conduct Right to Work checks and ensure compliance with UK employment law.
  • Maintain positive relationships with recruiters and students via meetings, calls and email.
  • Support employer activity that enhances the university’s reputation and rankings.
  • Maintain databases, records and reporting for the Careers Service.

Salary: £27,319 with progression to £28,778 per annum

The Role

The Student Success Unit is responsible for developing and supporting the delivery of an outstanding and distinctive student experience so that students have a high-quality university experience. As part of Student Success, the Careers Service supports all students and recent graduates to achieve positive graduate outcomes through tailored guidance, opportunities, and employer engagement.

You will provide comprehensive administrative and customer support, working within the Work Experience Team that oversees student work experience on and off campus.

You will contribute to a range of activities linked to student employment that sits within the Unitemps branch team, working closely with students and colleagues to ensure an excellent student experience is at the forefront. In a fast-paced environment, you will support students into valuable work experience from the start of term onwards through our newly formed UniTemps branch Working on Campus | Student Services | Newcastle University

There are two positions available on a fixed term, until 31 July 2027

Key Accountabilities
  • To administer all aspects of vacancy coordination and recruitment, including employer liaison, advertising vacancies, marketing and promotion of opportunities, managing application deadlines, shortlisting applicants under the supervision of more senior colleagues, organising interviews, providing feedback, allocating candidates to assignments, and supporting broader onboarding and selection processes
  • To monitor the employer and student experience during work experience to ensure that everything is progressing satisfactorily. To provide a first point of contact for issues that may arise, ensuring resolution where possible and referring to more senior colleagues where necessary
  • Support compliance with all prevailing employment legislation incl. UK Visa and Immigration requirements by conducting Right to Work checks for student workers
  • Build and maintain positive relationships with recruiters and students through face-to-face meetings, telephone and email communication, offering support, guidance and advice as needed and referring more complex queries to line managers when appropriate
  • To support on employer related activity which feeds into key reputation and rankings on behalf of the university
  • To maintain appropriate databases, records and systems
  • To prepare and contribute to delivery of Careers Service employer related activity, including in person sessions, meetings and events; ensuring employer and student expectations are well managed
  • To maintain and monitor financial records, including processing student payments, coordinating purchase orders and invoices, ensuring that deadlines are met, and budget controls are adhered to
  • To assist in the preparation of reports, including the analysis of recruitment and work experience activity
  • With the guidance of more senior colleagues, proactively promote the varied options available to recruiters and students. These include on-campus events, recruitment fairs, and vacancy advertising
  • To ensure that web, social media and other promotional materials are kept up to date in the post holder's area of responsibility. This includes assisting with the generation of case studies
  • To promote the activities of the Service at events. This may include giving presentations, answering diverse queries on multiple topics and supervising student helpers
  • Undertake any other duties reasonably requested in the delivery of the Careers Service's strategic objectives including occasional out of hours/evening work
