Job summary

NELFT in Brentwood is seeking an administrative support assistant to back the Stroke Hub with essential duties such as handling enquiries, scheduling, and filing. You will coordinate with clinicians, input data into SystmOne, and support appointment bookings and referrals, ensuring timely and accurate processing.

Qualifications

  • Experience providing administrative support in a healthcare or public service setting.
  • Ability to respond to enquiries and manage workloads with prioritised tasks.
  • Proficiency with electronic filing, data entry, and basic reporting.

Responsibilities

  • Respond to enquiries and take action on behalf of the service within agreed time limits.
  • Establish and maintain electronic filing systems and book meeting rooms.
  • Input generic data into organisational systems and register referrals onto SystmOne.
  • Prepare agendas, take minutes, and update action logs for internal review.
  • Send emails and SMS to patients; manage appointments and cancellations.
  • Stock orders, audits, and equipment packing for the team; phase reporting.
  • Work without supervision and address urgent situations promptly.

Job description

Responsibilities
  • Working alongside the Stroke Hub team delivering admin assistance as and when required.
  • Respond to enquiries, and take appropriate action on behalf of the service, either by telephone, or correspondence, within agreed time limits.
  • Ensure workload is managed and prioritised appropriately.
  • Establish and maintain electronic filing systems.
  • knowledge of SystmOne, Teams and Cisco Jabber, also Microsoft Office Package.
  • Prepare agenda’s, update action Logs, arrange and take minutes at meetings intended for internal review only.
  • Book meeting rooms.
  • Input generic data into organisational systems or in-house records.
  • Receive and action queries via various routes, including email, telephone, online, ensuring these are actioned promptly.
  • Receive & register referrals onto SystmOne, email and online, and offer appointments with clinicians for an assessment.
  • Cancelling and amending appointments.
  • Sending emails and SMS to patients.
  • Ordering of all supplies, managing stock rotation, including putting stock away on receipt of delivery.
  • Mems and other equipment audits.
  • Making up equipment/supply packs for the team members.
  • In phase reporting – complaints and compliments Power Bi – reporting Health roster – reporting on sickness Booking clinics.
  • Work without supervision and ensure urgent situations are addressed swiftly.
