Job Title: Site Manager
The Facilities Manager is responsible for managing the client property, ensuring compliance with Health and Safety, environmental regulations, company procedures, and client/tenant requirements. This includes managing budgets and maintaining high customer service standards.
Key Responsibilities
Customer
- Develop and maintain excellent client relationships, ensuring high service standards and attending client meetings.
- Prepare, control, and monitor service agreements within the agreed budget.
- Monitor key performance indicators and take corrective actions to meet standards.
- Manage major work programmes and liaise with all involved parties.
- Produce management reports as required.
- Coordinate with building management and procurement to ensure compliance with company policies.
- Oversee FM works onsite, liaising with service providers and subcontractors.
- Ensure work orders are in place before work begins.
- Participate in regular meetings and manage day-to-day customer relationships.
- Communicate scope or service changes to the Contract Manager.
- Assist in preparing quotes for additional works and organize extra works with subcontractors.
- Identify opportunities for improvement and inform the Contract Manager/client.
- Maintain building fabric to high standards within budget.
- Provide solutions for arising issues and support ad-hoc activities.
QHSE & Compliance
- Ensure health and safety compliance onsite, including records and logbooks.
- Maintain management records, emergency plans, and asset registers.
- Conduct regular fire and evacuation drills and update safety plans.
- Liaise with authorities and manage risk and insurance issues.
- Contribute to planning and scheduling, manage work orders, and ensure compliance via systems like Avetta.
- Ensure team adherence to QHSE procedures, including PPE use.
- Complete safety audits, incident reports, and follow-up analyses.
People
- Manage site team coverage, including holidays and leave.
- Obtain client approval for overtime and ensure proper billing.
- Authorize timesheets and address pay issues.
- Conduct monthly performance reviews and manage team performance.
- Ensure training and inductions are up-to-date.
- Support recruitment and onboarding processes.
Subcontractors
- Oversee third-party contracts and compliance.
- Manage subcontractor work schedules, safety documentation, and site access.
- Monitor subcontractor work and address any issues.

Person Specification/Requirements
- Relevant C&G or equivalent qualification.
- Experience in supervisory roles within client environments.
- Excellent customer service and communication skills.
- IT literacy and industry-specific software experience.
- Knowledge of health and safety legislation; IOSH or NEBOSH qualification preferred.
- Strong analytical and organizational skills.
Accountabilities
- Report to Contract Manager.
- Ensure site compliance and safety procedures.
- Manage site team and subcontractors.
