Job summary

CPL Aromas is seeking a Logistics/Shipping Administrator to manage orders from receipt through to customer delivery in the UK. The role involves co-ordinating inbound and outbound shipments, preparing customs documentation, and ensuring compliance with ADR/IATA/IMDG standards.

You will work with logistics, purchasing and production teams to resolve issues, maintain records and support despatch activities while ensuring timely communication with customers.

Qualifications

• Experience with dangerous goods shipping, logistics or production flow.
• Proficient with Microsoft Office; experience with Dynamics AX is a plus.
• Strong communication and multitasking abilities.

Responsibilities

• Coordinate inbound and outbound shipments of finished goods and materials.
• Prepare shipping, customs and Dangerous Goods documentation.
• Manage 3PL bookings, monitor deliveries and inform stakeholders of delays.
• Resolve shipping, customs, returns and customer queries with production and purchasing teams.
• Maintain shipping records and review OTIF performance.
• Support despatch activities and complaint handling when needed.

Job Purpose

To strive for internal and external customer delight though the effective management of raw material and finished goods orders from order receipt into UKM to receipt by customer. Broad outline of role is from customer order placement to customer receipt including booking of transport, documentation and queries around the shipment of goods and routings/capabilities.

Tasks and Responsibilities

Communication

• Communicate clearly, professionally and promptly with internal and external customers by email, telephone and face to face.

Internal & Outbound Shipping

• Coordinate inbound and outbound shipments of finished goods, raw materials and consumables.
• Prepare accurate shipping, customs and Dangerous Goods documentation, including customer-specific labels and packing requirements.
• Manage haulier and 3PL bookings, monitor deliveries and keep Customer Service and Sales informed of delays.
• Work with logistics, purchasing and production teams to resolve shipping, customs, returns and customer queries.
• Maintain shipping records, minimise aged stock and review OTIF performance using Power BI.
• Support despatch activities, order progression and complaint handling when required.
• Ensure compliance with SOPs, ADR, IATA, IMDG and customs requirements, maintaining relevant qualifications.

Order management and shipping of RM’s

• Review and release raw material orders, checking stock availability, pricing and delivery dates.
• Coordinate with Purchasing and other divisions to resolve shortages, urgent requests and order queries.
• Group orders according to courier, product, country and shipping requirements.
• Prepare pick sheets, labels and shipping packs, and update stock following despatch.
• Manage 3PL shipments and Encap orders, including third-party stock and import/export logistics.
• Consolidate samples into raw material orders where possible.

General

Support colleague engagement activities at BX, including events and long-service arrangements.

Skills And Attributes Required

• Have relevant experience in dangerous goods shipping, logistics and/or production flow.
• Have strong skills in Microsoft Office and ability to work with Microsoft Dynamics AX.
• Be self-motivated with positive attitude, and the willingness to learn and develop.
• Have a desire to find solutions to challenges, seeking support from colleagues for best effective.
• Able to work independently and as team player.
• Willing to adapt to the needs of the team, throughout different areas.
• Exhibit excellent communication skills, being clear in sharing information, even in difficult situations.
• Pay attention to detail.
• Have good time management with the ability to meet deadlines.
• Be able to multitask, even when under pressure.
