About The Role
Job Summary:
This role of Services Project Co-Ordinator is responsible for handling commercial activities within the Transformer Service Department, reporting to the Service Commercial Manager.
Responsibilities include processing transformer/tap-changer, spares/services customer enquiries, and duly processing orders, in line with requirements; scheduling and managing contractual deliverables, as agreed within the tendering process; and responsible for cash collection.
Key Responsibilities:
- Execute commercial projects, including all associated warranty commitments.
- Prepare and issue quotations.
- Ensure on-time delivery of enquiries and orders.
- Take requirements agreed within tendering process and effectively plan delivery based on these.
- Be accountable for the successful delivery to cost, specification, and schedule for a defined package of work.
- Create and maintain key project documentation, including tender, work order, and invoicing instructions.
- Effectively execute changes to the project.
- Maintain high levels of customer satisfaction and meet Key Performance Indicators (KPIs).
- Work with senior commercial managers, project managers, sales managers, and all relevant stakeholders to ensure clear communication of project progress.
- Manage allocated projects to ensure they are completed on schedule and within budget, highlighting issues early.
- Negotiate and accurately record customer project variations.
- Minimize company's exposure to liabilities.
- Maintain accurate records within the company's Customer Relationship Management system.
- Track project deliverables and costs using appropriate tools.
- Monitor and report on project and tender progress in a timely manner.
- Ensure all payments are received within the contract timeframe and highlight deviations.
- Collaborate with Sales and Customer Service Managers to assess customer satisfaction on completed projects and future sales opportunities.
- Remain flexible and adapt to the needs of the business.
- Observe health, safety, and environmental regulations, taking reasonable care for oneself and others at work.
