Purpose

The Senior Tenancy Progression Coordinator is responsible for leading the preparation, coordination, and administration of all tenancy documentation—both standard and non-standard—ensuring full compliance with current lettings legislation, regulatory requirements, and internal policies. The role oversees the smooth progression of new tenancies, tenancy renewals, tenancy variations, and short-let agreements, taking ownership of complex cases and acting as a subject matter expert for tenancy compliance.

Working closely with Front Office, Lettings Operations, Branch Managers, and wider business functions, the Senior Tenancy Progression Coordinator ensures departmental service standards, turnaround times, audit requirements, and compliance KPIs are consistently achieved while identifying opportunities to improve processes, mitigate risk, and enhance the customer experience.

Tenancy Documentation & Compliance
  • Prepare, review, approve, and coordinate all tenancy documentation for new tenancies, renewals, tenancy variations, and short-let agreements.
  • Ensure all tenancy documentation complies with current lettings legislation, regulatory requirements, and company policies, including but not limited to:
    • Right to Rent
    • Prescribed Information
    • Deposit Protection requirements
    • Safety certifications
    • Agency compliance obligations
  • Review and manage non-standard, bespoke, and complex tenancy agreements, liaising with senior management or legal advisors where appropriate.
  • Monitor legislative and regulatory changes, supporting the implementation of new compliance requirements across the department.
  • Maintain exceptional standards of accuracy and ensure all tenancy files remain audit-ready.
Tenancy Progression
  • Take ownership of the end-to-end tenancy progression process from offer acceptance through to move-in.
  • Manage a varied portfolio of complex tenancy transactions, ensuring documentation, compliance checks, referencing, deposits, and financial requirements are completed within agreed service levels.
  • Coordinate special conditions, licence agreements, contractual variations, and legal addendums, ensuring all stakeholders understand and complete required actions.
  • Proactively identify and resolve issues that may delay tenancy completion, escalating risks where necessary.
  • Ensure all internal systems are accurately maintained with complete and compliant records.
Stakeholder Management
  • Build and maintain effective working relationships with Front Office teams, Branch Managers, Lettings Negotiators, Property Management, and Lettings Operations.
  • Act as the senior point of contact for tenancy progression queries, providing expert guidance on tenancy processes and legislative requirements.
  • Communicate proactively with internal stakeholders, providing regular updates and managing expectations throughout the tenancy journey.
  • Develop strong relationships across departments to improve operational efficiency and customer outcomes.

    • Turnaround times
    • Communication response times
    • Compliance accuracy
    • Audit performance
    • Customer service standards

Systems, Reporting & Process Improvement
  • Maintain accurate tenancy records across CRM, tenancy management, and document automation platforms.
  • Ensure data integrity, document control, and complete audit trails across all systems.
  • Produce operational reports and support managers with KPI monitoring, compliance reporting, and workload analysis.
  • Identify opportunities to improve workflows, automate processes, and enhance operational efficiency.
  • Support departmental projects, system enhancements, and policy implementation initiatives.
Business Development
  • Identify opportunities to refer clients to Property Management, Sales, Financial Services, and other relevant business areas.
  • Promote Rent Protection and other company services professionally, ensuring customers understand available solutions.
  • Support wider commercial objectives by contributing to cross-functional collaboration and customer retention initiatives.
Leadership & Team Contribution
  • Act as a senior technical resource within the team, providing guidance and support on tenancy legislation, documentation, and best practice.
  • Assist managers with onboarding, coaching, and mentoring new team members.
  • Share knowledge and promote consistency of processes across the department.
