About this role:

Based within our London Office Assistant Property Manager Team, you as a divisional leader will be working to support and mentor the Assistant Property Managers in their day-to-day duties, including communications, property related tasks and other core duties. In addition to this, you will be responsible to help manage a portfolio of properties and will be supported by the Property Management Team and the Regional Manager to ensure SLA's and KPI's are met across the department. As this is a new role, there will also be the opportunity to review processes across the team to meet our departments KPI's, and ensure we are providing the best possible service to our clients and customers, while supporting the other departments within the business. This is a real opportunity to develop and learn managing a dynamic team. The role of the Assistant Property Management Team is to support the other departments of the business, and the purpose of the property management division within this team, is to ensure that the day to day running of the properties under our management are conducted in a timely manner. These tasks will include the generic assistant property management duties such as works orders, communications, contractor management and so on.

Job Specification and Key Responsibilities:

  1. Weekly APM Team meetings, supporting and advising the team as a first port of call on all aspects of the focus of tasks, and training.
  2. Being the point of escalation for queries, questions, and/or general support to Assistant Property Managers.
  3. Ensuring that appropriate queries are responded to within the assistant property management team.
  4. Supporting and assisting the collective Property Management Team, and Regional Manager to ensure that projects are running smoothly.
  5. Managing your own workload and ensuring that the appropriate tasks are assigned to the Assistant Property Management Team.
  6. Liaising between departments, for support and guidance on the assistant property management team responsibilities.
  7. Updating the teams and providing support to the SMT.
  8. Ensuring statutory compliance for training and development for the Assistant Property Managers are completed.
  9. Scheduling and overseeing tasks assigned by the Property Management Team.
  10. Providing weekly updates on team members and tasks to Management, including KPI's and updates on any issues or problems requiring SMT intervention. Mentor and develop Assistant Property Managers in processes and procedures relevant to the role.
  11. General management of assistant property manager team members within the property division, including 121's, authorising annual leave and sickness absence.

Essential Skills:

  1. Relevant property management experience.
  2. Excellent communication and interpersonal skills, including written and verbal.
  3. An ability to deal with challenging people and handle conflicting opinions.
  4. Organised and methodical.
  5. An ability to multi-task and possess strong prioritisation skills.
  6. Can demonstrate high customer focus and time management skills.
  7. Previous management experience.

Bonus Skills:

  1. Previous working experience/knowledge of QUBE or Dwellant.
  2. TPI qualified (ATPI).
